About the role

This is an opportunity to be part of the Facilities team. As the first point of contact for the company, you will possess outstanding communication skills with a bright and enthusiastic disposition.

We are looking for someone with a proactive, team spirited attitude that can bring enthusiasm and initiative to this expanding and successful company.

While primarily based in our main Reception, the role will involve assistance with administration across the organization as needed.

  • Key Responsibilities :

  • Meet and greet clients and visitors. Follow sign in procedure and alert employees their guest has arrived. Provide refreshments while they wait.
  • Ensure effective and professional telephone communications by answering any incoming calls, taking messages and / or forwarding to the proper individual.
  • Sort daily post / deliveries / couriers. Email employees if packages arrive in Reception for them.
  • Purchase office consumables as required.
  • Take ownership of the Reception area and make sure it is consistently kept in the best state.
  • General coordination of the office housekeeping with the rest of the Facilities team
  • Assist with daily facilities operations and liaise with building management; issuance of parking passes and submit maintenance requests.
  • Administrative assistance across all departments within the organization where needed to ensure a smooth-running office.
  • Assist with planning and coordination of company events.
  • Essential Skills and Experience :

    Within this corporate IT environment, you will be required to have :


  • 2 4 years of administrative experience
  • Proficiency with Microsoft Office, Word, Excel, and PowerPoint
  • Outstanding organizational skills, accuracy and attention to detail and the ability to multitask
  • Written and verbal skills with strong grammatical, proofreading, typing and note taking skills
  • Ability to work independently, and use discretion
  • Excellent interpersonal skills, including a pleasant positive demeanour and a proactive approach
  • A solid understanding of the goals and objectives of the business and their own personal goals.
  • Recognize that customer satisfaction is a principle measure of our business and our values
  • Instinctively find practical solutions to complex problems
  • Expect to encounter change and take ownership of your job
