A well-known international speciality and commodity raw materials manufacturing company requires the above be responsible for the general office reception;
coordinating a switchboard and attending to internal administrative duties whilst liaising with clients regarding various aspects of their business.
Minimum requirements for the role :
Must have a disability.
Previous administration or Receptionist working experience is essential.
Computer literacy with good working knowledge of Microsoft packages skills is essential.
Must have a basic understanding and experience of shipping.
Must be presentable, well organised and have excellent communication skills as well as excellent telephone etiquette.
Fluency in both English and Afrikaans is essential.
The successful candidate will be responsible for :
Managing the reception area and operating a busy switchboard.
Providing an appropriate level of commercial and operational support to the entire company.
Handling customer complaints and general queries in a professional and efficient manner.
Ensuring that customer complaints are logged on the system.
Opening new product codes for the company.
Liaising with staff as well as welcoming and directing visitors.
Updating the sample register for all divisions on a regular basis.
Sending utility bills to head office ahead of month-end.
Capturing data and updating the in-house system when required.
Working closely with the team regarding various administration documentation and queries that needed attending to.
Receiving sample packages from suppliers and sending these off to customers via a courier company.
Compiling invoices, placing purchase orders, verifying stock availability and liaising with warehouse personnel regarding stock arrival dates.
Managing all incoming deliveries.
Liaising with drivers regarding deliveries and issuing delivery notes.
Performing all other general administration including filing, faxing, copying, etc.
Ordering sundry consumables when required to do so.
Issuing of vehicles to employees and ensuring that the register is completed correctly.
Providing general and administrative support to the Office Manager.
Ensuring that security procedures are followed.
Salary package is highly negotiable depending on experience gained.
