The purpose of this position is to lead People Shared Services, including the payroll function, ensuring all services provided to employees, managers and the people team are effectively and efficiently delivered to continually improve the employee experience.

What you'll be doing

What would make you a good fit for this role?

1. Service Delivery

  • Ensure that the operational service level agreements and contractual requirements are met, Direct short and long term planning to meet operational and contractual targets
  • Serves as the subject matter expert on employee transactions and acts as an advisor to the organization to resolve and implement functional modifications when necessary
  • Establish and measure performance across all areas of the shared services environment against agreed metrics or establish success metrics to build credibility and value, and communicate changes in process proactively.
  • Identify, support and manage the transition of new or additional services into the People Shared Services Centre
  • Identifies and implements process and technology improvements to enhance functional effectiveness and maximize operational effectiveness.
  • Ensure flexibility and agility of the shared services to be able to meet our customers changing requirements and to better support their service transformation
  • Works with relevant central / support areas to allocate resources and ensure easy, positive and brilliant experiences services internally and externally
  • Drives and supports the cultural change necessary within the internal organization and the business to drive the adoption of standardized processes and quality delivery.
  • Collaborate with key stakeholders to ensure the buy in and support for a shared services centre that is focused on service excellence, is optimized, enabled by technology and expertise, and continuously improves the employee experience.
  • 2. Operational Performance

  • Develop, establish and direct implementation of operating policies and standards in within the shared services operations , ensuring they are either innovative or aligned to global operating model
  • Manages all systems and activities to ensure that production and quality expectations meet or exceed all departmental requirements.
  • Ensures that all Company-related administrative electronic forms, reports, and processes are completed accurately and in a timely manner.

  • Conducts data integrity reviews to ensure that production and quality expectations are being met, providing timely feedback and coaching to ensure performance metrics are being met or exceeded
  • Works with HR Centres of Expertise and Business Partners to define appropriate HR service level targets and defined responsibilities
  • Manages technology vendor partners and the tools that they provide to support HR Service delivery.
  • Designs, develops, and generates reports, analyzing the data to ensure accuracy and to support decision making
  • Compiles work volume statistics and monitors other relevant and business-impacting metrics
  • Budget Management

  • Provides input into and implements commercial models to drive process and operational efficiencies and enable pass through or charging of shared services delivery
  • Develops and maintains the Shared Services financial plans and budget
  • Directs Shared Services Operations to meet budget and other financial goals to support the strategic business goals
  • Ensures that financial targets and plans are communicated
  • Ensures tracking, monitoring and reporting on Shared Services financial activities
  • Leadership

  • Leads by example in living the values of the organisation
  • Ensures the department is fully equipped to handle the work load and distribute work flow
  • Coaches to ensure a full understanding of consequences of errors
  • Creates an environment that fosters team work and co-operation amongst team members
  • Creates awareness of Merchants strategic objectives and their alignment to the department and company objectives
  • Communicates effectively, building and maintaining relationships
  • Ensures consistent compliance to company policies and procedures, corporate governance and relevant legislation
  • Attraction & Selection

  • Ensures appropriate staffing and action accordingly
  • Identifies need for creation of position and forward recommendation to direct manager and HR
  • Ensures appointments are in line with EE targets / strategy
  • Selects and places candidates in terms of agreed recruitment and selection process
  • Retention

  • Develops and empowers people, recognizing and rewarding value-added performance
  • Training and Development

  • Continually strives to up-skill and motivate staff through effective leadership, mentoring, coaching, performance improvement and the creation and implementation of individual development plans
  • Monitors implementation of training needs as per individual development plans
  • Guides in Career Pathing and ensures Succession Planning
  • Identifies, manages and develops talent
  • Assumes responsibility for identifying key roles and potential successors for the roles
  • Ensures successors are placed within an acceptable time frame.
  • Performance Management

  • Sets direct reports quantitative and qualitative performance objectives and ensure individual performance objectives are in place and reviewed to meet organisational and individual needs
  • Ensures performance reviews take place with direct reports, identifies poor performance and takes corrective action
  • Knowledge

  • 10 12 years HR and Payroll experience, within a leadership position
