DUTIES :

Claims : To facilitate claims between the client and the insurer.

Underwriting : To facilitate underwriting, send out renewals and policy documents relating to amendments to policies.

Insurance certificates : Facilitate the insurance certificate request and to issue the certificate

Quotations : To request quotations and prepare summary of quotations received.

Bring in leads to grow the brokerage and to see clients internally and externally when necessary

Financial

Insurance Claims and Insurance certificates

All correspondence to be electronically filed

All financial payments to have the brokers signature before processing

All claims authorised by the broker for closure and archiving

Claims

Ensure that settlement is received before authorisation of repairs is given (Excluding emergency repairs and where written consent from the insurer has been received.

Insurance Certificates

Payment for insurance certificates must be received before the certificate is issued

To be responsible and accountable for ones work and actions

Administration - Claims

Claim to be registered on Nicor within 24 hours of receiving notification of a new claim

Excess to be communicated to client on initial contact

Record of details to be made on Nicor on day of receipt

Claim forms to be sent to the owners within 24 hours of receiving the claim

Outstanding claim forms to be followed up every 4 days

All claims to be registered within 30 days of the date of loss with or without a claim form, unless the client has been informed that no claim will be registered due to no claim form being received

Any claim received after 30 days to be registered upon receipt

Portfolio Manager and assistant to be informed that a claim has been registered

Registered Claims

Correspondence received regarding current claims to be handled within 2 days of receipt

Correspondence received directly from owners to be answered within 2 hours

Registered claims to be followed up once a week

Nicor to be updated immediately upon information received

Settlement of claims

Upon settlement received from insurer, showing on Nicor, go ahead to be given to the contractor

Insurers contractors to be settle upon receipt of invoice

Excess to be debited to levy account

Excess confirmation letter to owner

Portfolio managers to be notified in writing regarding settlement, excess deductions and where necessary informed to settle the body corporates contractor

Claims register and notes to be updated and finalized

Claim to be settled and final authorisation by the broker

Administration - Insurance certificate

Verify request

Record request on the spreadsheet or Nicor workflow

Request payment of certificate

Upon receipt of payment issue certificate

Settlement and Closure of Certificates

Ensure that the client receives the certificate within 48 hours upon receipt of payment

Save a copy of the request together with the certificate and payment on the Nicor workflow

Updated Nicor workflow

Administration Underwriting

Renewals

Receive, check and send out renewals six weeks before renewal date

Attached cover letter, renewal letter, policy schedule, policy wording and information letter

Policy amendments

Receive and check amendments and send out as above

Quotations

Request quotations from the various insurer’s

Check quotations received

Complete summary

Check summary and send out

Adhere to policies and Procedures

Works within the Policy and Procedures set by the department

Adheres to the guidelines as set up in the company’s human resources manual

Adheres to FSCA regulations and meets their requirements

Keeps to dress code

Keeps within the working hours, leave and sick leave requirements

Adheres to the smoking regulations

REQUIREMENTS : Matric

Matric

2 years’ experience in SHORT-TERM insurance
