1.0Job Purpose

  • To ensure that project requirements are identified as per contract and submitted with the correct supporting data pack, whilst assisting project managers to maximize project efficiency including operational paperwork, by scrutinizing invoice backup and ensuring that all such supporting data is received / issued in a timely manner through effective internal credit control meetings.

    3.0Main Responsibilities & Key Result Areas

  • Generation of Purchase Requisitions and Purchase Orders on NAVISION in the absence of the Operations Coordinator.
  • Compile paperwork and draft invoices as required for approval
  • Expedite the procurement process ensuring orders arrive in a timely manner
  • Have excellent interpersonal and communication skills, be self-motivated flexible and have a professional manner.
  • Project filing creation of job files and maintaining field paperwork; collating into the correct filing system and archive when the job has been closed out.
  • Assist Engineers and Managers in all administrative tasks
  • Ensure full compliance with the requirements of all relevant Company / customer HSE handbooks, HSE procedures and emergency procedures
  • Provide cover for Logistics coordinator when required or during periods of high activities
  • To update the logistics tracking spreadsheet for all personnel movements on a daily basis when required
  • Assisting Sales / Operations in ensuring client PO’s are issued and in place in a timely manner by informing Sales / Operations on their status
  • To answer the department’s telephones in a professional manner in the absence of the relevant person, taking appropriate messages and passing on accordingly
  • Taking minutes of meetings and distributing

  • Matric or equivalent
  • 3 years projects administration experience
  • Computer literate in MS Word, Excel, Outlook, Powerpoint
  • Good understanding of Navision program or similar ERP
  • Sound administration and typing skills
  • Highly motivated with a pleasant manner
  • Work under own initiative and with confidentiality
  • Ability to prioritize tasks to ensure delivery
  • Good organizational and planning skills
  • Attention to detail
  • Customer focused
  • Preferred

  • Related qualification in Office Administration or equivalent
  • Draught qualification or equivalent
  • Hydraulics knowledge or experience
  • Oil and Gas Industry experience
  • Required for position :
