Racing Distribution has an exciting opportunity for a Fleet Administrator (Tracking) to be based in Mhlanga, Durban. The position will be to ensure that there is compliance with all policies, procedures and strict adherence to internal controls.

Ensure daily, weekly and monthly reporting is submitted accurately, timeously and contains appropriate content to enable effective decision making.

Ensure maintenance and upkeep of the companys vehicle tracking system by using the most cost-efficient maintenance processes.

Complete all ad-hoc tasks as requested by management from time to time. Provide a support role to the Fleet Supervisor. Minimum

Requirements :

  • Geographical knowledge.* Valid drivers licence.* Understanding of motor vehicles. Advantageous : * Relevant Certificate / Diploma.
  • A minimum of 1-years of experience in fleet management. Responsibilities : * Daily / weekly / monthly tracking & speeding reports sent to respective departments for approval.
  • Following up for approvals / declines for escalation.* Strictly monitor afterhours and weekend usage and report it daily and weekly respectively to the relevant Managers for approval.

  • Actively monitor alarms and contact the drivers to ensure all is ok.* Monitor and ensure all units are in working order and communicating effectively and address any calls received from drivers or regions concerning tagging issues.
  • Strictly monitor driver IDs ensuring information is correct.* Assist with Route planning.* Report on non-running / nonstarter vehicles daily.
  • Creating of driver ID tags and the management of fleet procedures. Tag creations / cancellations must be sent to the Fleet Manager in order to update the fuel SMS notification system.
  • Booking and coordinating national fitments / removals & replacements in all vehicles.* Booking and coordinating nationally of tracking unit repairs and maintenance.
  • Keep track nationally of service tags issued.* Ensure the tracking systems are updated with all current information i.e.
  • contact numbers, drivers etc.* Ensure everything tracking system related is always relevant and up to date.* Ensure most efficient maintenance and planning solutions to minimize the companys internal cost and company downtime.

  • Negotiation of favorable tracking company supplier terms and pricing - (payment, rebates, settlement discount, volume discounts).
  • Obtaining quotations for approval from the tracking company when removals / fitments, repairs are required.* Ensure that new fitments are showing on the system and that all information is updated and correct.
  • Do not accept faulty / poor workmanship from suppliers.* Be on standby should there be problems with a vehicle after hours.
  • Ensure the Fleet Manager is informed of all activities relating to the fleet.* ADHOC duties will be performed as requested from the Fleet Manager from time to time.
  • People : * Performance must be tracked by yourself and the onus is place on you to set-up performance review meetings with the Fleet Manager.

    Compliance, risk and quality : * Maintenance of Report bad driving hotline and implementation of necessary corrective action.

  • Maintaining and enforcing company policies and procedures specific to fleet.* 100% compliance with health and safety regulations.
  • Compliance with relevant laws and regulations relating to the fleet.* Ensure logical saving of all work, templates, etc.
  • monthly and yearly such that each years financial records can stand on their own when inquiries / investigations / audits take place.

  • Produce high quality, neat, logical, succinct, easy to follow, easy to understand, formula linked. work / templates / workbooks / financial models - of which is substantiated by facts with no numbers in the formulas.
  • Ensure the above (final version) and other documents are chronologically saved / backed up. Growth and new markets / products : * Assist with projects as directed from time to time.
  • Ensure measures are put in place and steps are taken to achieve the short term, medium term and long-term goals of the company.
  • Skills and competency : * Good communication and interpersonal skills.* Excellent customer service skills.* Strong attention to detail.

  • Portray and maintain professionalism at all times, whilst showing initiative and being pro-active.* Excellent problem solving and time management skills.
