Operations Co-ordinator

Good Operations Co-ordinators can think creatively about the use of space, color and movement and will draw on other artistic mediums for creative inspiration.

They will be effective communicators with the ability to persuade in communicating an idea.

Some of the Operational Coordinators' responsibilities include visualizing and sketching design plans as per management goals, sourcing products and materials, determining costs and inspecting construction to ensure alignment with design specifications are met.

You will also be expected to comply with the regulatory environment around inspections and building codes.

As an Operational Coordinator, you will ensure an optimal working environment across all our properties and ensure that the necessary support is given to operations in terms of Facilities & Aesthetics, and Residential matters.

The ideal candidate must have excellent time management skills, excellent administration skills and attention to detail for aesthetics and interior spaces are of high importance.

Candidate must have a valid driver’s license with own transport and be willing to travel to various destinations. Every project is to be completed within a reasonable time frame and to the required standards.

Minimum Requirements :

  • Grade 12 Qualification in Hospitality and Tourism Industry not essential, but preferred.
  • Minimum of 1-year experience in the same or similar position
  • Level 2 minimum Microsoft Office (Word, Excel, PowerPoint and Outlook in particular)
  • Basic OPERA System Knowledge

  • Bachelor's degree in interior design or a related field would be beneficial
  • Project management experience.
  • Experience with computational design would be beneficial.
  • Highly creative, imaginative, and artistic.
  • Excellent communication skills, especially regarding communicating an artistic vision
  • Duties and Responsibilities

    Interior Designer Responsibilities :

  • Outline design objectives.
  • Determine cost of completion and project requirements in the budgeting phase.
  • Set a timeline for the completion of a project.
  • Source materials and products included in plans.
  • Create 'mood boards' to sample your design vision.
  • Inspect projects after completion to determine whether goals have been met.
  • Undertake project from concept to completion
  • Interpret and translate management needs into rough plans
  • Negotiate fees and set schedules for the project
  • Research and decide on materials and products sourcing
  • Place orders for materials and oversee installing the design elements
  • Work closely with designers, decorators, architects and constructors
  • Research and follow industry changes, evolutions and best practices
  • Administration :

  • Oversee daily administrative and clerical activity in the office.
  • Maintains records of maintenance and other facilities functions
  • Oversee design progress against schedule and budget
  • Review, negotiate and recommend for approval / disapproval on design change orders.
  • Assist Group Operations Manager on special research and technical projects.
  • Administer design subcontract including processing monthly invoices for payment
  • Perform receptionist role to maintain appointment agenda and inform commitments to team members.
  • Oversee and maintain cleanliness in the organization
  • Provide assistance in sample boards and shop boards preparation for presentation and release to properties.
  • Coordination :

  • Coordinate and monitor the status of design incentive / disincentive programs complying with provisions of design subcontract.
  • Coordinate and control design submittals for Exco’s review and approval.
  • Coordinates and manages schedules and calendars for the facilities department
  • Ensure appropriate follow-up with departments and staff.
  • Provide direction / information to vendors, facilities staff and service providers as required to ensure excellent coordination / execution of work within the client environment with minimal disruption.
  • Receives requests for building or equipment maintenance.
  • Assign technicians or specialists to repair equipment as necessary.
  • Acts as liaison between different company departments to ensure that problems are appropriately resolved.
  • Perform constructive reviews conforming design to prime contract requirements and proposal commitments.
  • Manage entirely materials and data to help establish and maintain effective communication and information systems within the group.
  • Operations :

  • Minimum of 2 duty manager shifts per month to ensure full understanding of operations.
  • Assist in the maintenance, front office and housekeeping departments as per operational requirements.
  • Summarise guest feedback from guest review platform, communicate and action aesthetics residential, facilities work needed in / on the properties.
  • Obtain quotes and meet with suppliers.
  • Ensure only approved suppliers used.
  • Update of supplier list in collaboration with procurement officer.
  • Back up for Group Operation Manager
  • Assist in compiling Interior & Condition Survey, including the execution
  • Filling the gap between aesthetics, residential and facilities.
  • Capture and submit project management.
  • Assist with insurance matters.
  • Placing of orders.
  • Assess communication and provide feedback on products and specifications.
  • Assist with winter planning & projects
  • Recognize operational residential challenges and assist with research and solutions
  • Updating of master inventory costs
  • Assist in creating operational modules
  • Assist in updating manuals
  • Implement corrective measures for identified distractions or issues.
  • Facilitate resolving design issues.
  • Training and Development :

  • Modules are developed and part of the staff training operational
  • Financial :

  • Assist Group Operations Manager with functional administrative duties.
  • Ensure weekly reporting of residential targets and actual numbers reported.
  • Submit project management to the financial controller / manager on a weekly basis.
  • Submit purchase orders and invoices to creditors twice a week.
  • Assist in placing orders and filing.
  • Management Support :

  • Assist Facility Management & Operational Team with tactical planning for the team’s goals and objectives.
  • Provide facility-specific assistance to a project.
  • Manage and maintain small facility management tasks as assigned.
  • Devise new ways to improve the efficiency of office work and services
