Purpose of the Job

To ensure internal and external customer satisfaction through timely, effective and efficient completion of a depots’

administrative processes.

Job Accountabilities / Key Responsibilities

  • Accurate and Efficient handling of contract management administration, from start to end of hire
  • Assisting Sales Engineers and Service Operations with Delivery and Collection from sites if required
  • Efficient purchasing from third party suppliers for contract related services such as transport, fuel etc. and
  • completion of related purchase orders.

  • Reminders to Sales Engineers of credit’ / further payment due of cash hires (to ensure no bad debts)
  • Accurate and timely production of invoices and cost sheets during the month (for hires completed) and at month
  • end (for on-going hires).

  • Credit notes where required
  • Pro-forma invoices as required by Sales Engineer (for advance payment / Cash Customers)
  • Housekeeping of various ABI reports required on a daily and weekly basis
  • Preventative measures for outstanding Power Pack items (closing out outstanding report issues for weekly meeting)
  • Assisting Sales Engineers and Service Operations team with contract related queries and tasks as required
  • Contract File Management - ensuring that the contract paperwork is present and compliant. Ensuring that all
  • required check list documents are within contract file.

    Person Specification / Job Requirements

  • 2-3 years relevant experience in an office or similar environment (Car rental, Logistics, Rental Co-ordinator)
