To deliver human resource and employee relations support to the business; consisting of moderately complex, routine and administrative activities.
This role will act as a business partner by understanding the support requirements of the business and delivering in such a way as to improve efficiencies and processes in the business.
The role will also direct the consistent implementation of human resources policies and practices throughout the business within a unionised environment Recruitment & Talent Management
With the relevant line manager, prepare job specs for any vacancies
Responsible for correspondence with unions
Advertise all vacancies, both internally and externally
Screen applicants and conduct interviews with the line manager
Co-ordinate employee take-on documentation and onboarding processes, including the drawing up of accurate employment contracts
Communicate all new appointments via the appropriate channels
Educate line managers on the principles and processes of recruitment
Maintain excellent and accurate employee records
Continuously maintain job descriptions
Guide and support business unit managers on recruitment, promotion, and termination procedures, in-line with legislative requirements
Policies and Process
Put standard HR policies and processes in place that are aligned to legislation and the businesses strategic and operational objectives
Develop and maintain policies, conducting training on the policies as required
Proactively support the delivery of best practice HR processes
Provide guidance on the interpretation and application of company policies and procedures, as required
Provide HR advice and support to managers and employees on operational HR matters
Payroll Administration
Assist managers to take accountability for employee timekeeping records on the internal system
Review timekeeping information and submit to the payroll department for weekly wages
Submit all relevant weekly wages information and changes to monthly salary information to the payroll department (overtime, bonuses etc)
Review payroll reports for weekly wage and monthly salary employees to ensure its accuracy
Sign off on payroll information with the relevant line manager / director
Collate information for payroll processing, and sign off on payroll, taking accountability for its accuracy and completeness
Performance Management
Train / coach managers on how to manage performance on a daily, weekly and monthly basis
Put KPI’s in place where appropriate and collaborate with line managers to improve their department’s performance
Assist in diagnosing and managing performance problems
Industrial Relations
Coach department managers on current and relevant employment legislation
Address employee concerns by investigating and evaluating issues discreetly, and providing advice and guidance to resolve the concern
Keep appropriate records and ensure that all relevant documentation is stored as required
Institute disciplinary processes, where appropriate
Attend to all CCMA conciliation and arbitration matters
Manage industrial action in accordance with current legislative requirements
Training and Development
Guide and support department managers to conduct development discussions and collate their department training and development plans
Monitor individual employee development within the departments
Maintain records of all training
Submit the Workplace Skills Plan and Annual Training Report on time; ensuring that the rebate is received
Proactively put plans in place to support the company’s BEE strategy on learning and development
Take accountability for employee satisfaction surveys, and efforts to improve on any areas of concern highlighted by these surveys
BBBEE Monitoring and Support
Together with the Executives of the business, map out the annual and future BEE plans
Ensure that BEE initiatives are budgeted correctly and that the action plans are implemented to achieve the targeted score
Monitor the progress of BEE and report to the Executives and / or Board
Proactively improve the BEE scoring in each area where improvements are possible
Manage the annual BEE audit
Employment Equity
Put Employment Equity committee in place, train employees and comply with all other legislative requirements
Schedule EE committee meetings and keep records
Submit all EE reporting requirements timeously
Reporting
Submit monthly HR reports to the Executives and prepare updates for the Board
Provide weekly and monthly updates all managers on the relevant HR matters in the business. Show proactive efforts to solve them
Report on key HR metrics, where appropriate
Qualifications
Relevant Bachelor’s Degree / related diploma
Proficient in MS Office : Word, Excel, PowerPoint, Outlook
Skills
Minimum of 4 years in Human Resource, Labour Legislationa and Union function within a FMCG / Manufacturing environment
Experience with unions - non negotiable
Previous experience at CCMA and internal disciplinaries is advantageous
Proven history of successful implementation of HR practices
Previous payroll experience is an advantage
Previous experience in managing BBBEE is an advantage
Working knowledge of current HR legislation
Ability to engage and operate at all levels of the organization
