An organised, service-orientated individual is required to manage the administrative functions and provide a confidential personal assistance service to the General Manager in Pietermaritzburg and to increase the effectiveness of the executive and the department.
The successful applicant must have a pleasant demeanour and foster good working relationships amongst staff.
Minimum Requirements :
Grade 12 plus a relevant Secretarial Diploma
5 years experience as Executive Assistant or Personal Assistant
Excellent administrative skills and an advanced level of competency in MS Office suite
Must be highly competent in minute taking and preparation
High level of numeracy and accuracy
Must be able to exercise good judgement and possess good decision-making ability
Ability to prioritize conflicting needs and have a strong sense of urgency when performing tasks
Excellent written and verbal communication skills and professional telephone manner
The main responsibilities of this position include :
General office management, administration and filing
Manage & control telephonic calls, visitors, appointments and electronic diaries
Manage, oversee and co-ordinate travel & logistical arrangements
Plan, organise and co-ordinate functions, conferences and meetings where necessary
Preparation and recording of meeting minutes
Typing, preparation and compilation of agendas, documents, reports, budgets, presentations and stats
Manage internal departmental functions
Oversee facilities, including gardens and cleaning services
Coordinate factory visits for suppliers and customers
Administration of company vehicles, fuel usage and vehicle repairs
Check and assess all invoices, purchasing requisitions, cellphone claims, Capex requests and overtime prior to sending to GM for approval
