To provide an effective and efficient administrative service to the Divisional Manager thereby assisting him to ensure that Franchises, Corporate Stores and the Retail Network operate as successful businesses thereby ensuring maximization of the company.

1. Stock Allocations (All Stores)

  • Update allocation sheet on monthly basis with store turnovers
  • Prepare allocations on stock, demo sales items, POS & test stock
  • Email allocations to necessary staff members at Head Office and Stores
  • 2. Ad Hoc Invoices

  • Receive invoices from Area Managers / Franchisees
  • Submit to finance for payment after sign-off by Manager
  • 3. Franchise Meetings and Conferences

    Set up and preparation including :

  • Advising franchisees & monitoring progress
  • Agenda & Presentation
  • Organising catering
  • Minutes (taking and typing up)
  • Assist with planning of agenda, accommodation, menu, food, flights, travel arrangements etc
  • 4. Franchise Income & Expenditure Per Store

  • Ensure individual store documents are updated with I&E data
  • Produce reports including but not limited to :
  • Valuations (including depreciations)

    Ratios - rent to turnover

  • Ad hoc as requested by Manager
  • 5. Forecast Meeting Reports

  • Obtain statistical data from Company Direct Reporting system
  • Capture data into YTD report
  • Print and submit information to Manager
  • 6 . Budgets

  • Assist Manager with the preparation of annual budgets
  • Update all relevant excel documents in accordance with new budgets
  • Submit area budgets to Area Managers
  • 7. Monthly Sales Reports

  • Obtain financial information from stores
  • Update sales reports on monthly basis
  • Monthly Sales Report
  • Franchise & Corporate Growth and Regions - monthly
  • Month on month turnover comparison
  • Top 20 per store monthly
  • Obtain info from the company Direct Reporting System

    8. Company Direct Reporting System

  • Maintain accuracy of data being received
  • Investigate and analyse discrepancies
  • Import stats checked daily
  • 9. Stock Requests

  • Stock on hand at store level
  • Demo sale comparisons
  • Sales figures on stock items
  • 10. Franchise Queries

  • Income & Expenditure statements
  • 11. Ad hoc Reporting

  • Prepare and submit reports as and when required by management for retail stores, direct stores and franchise stores
