JOB SUMMARY : Red ember is currently recruiting for a Portfolio Administrator to be based at a client in Durbanville. JOB DESCRIPTION : To qualify for this position, you need : NQF 4 or working towards completing your NQF 4At least 2 years of experience in a similar positionExperience with rentalsExperience with PayPropGreat administrative skillsExcellent communication skills and telephone etiquette You will work predominantly on the following programs : Red Rabbit, Payprop, Excel, Google docs Functions and responsibilities : Monthly list to the team on tenants that are vacating on allocated portfolioSend Vacating checklist to all tenants who give notice on allocated portfolioAttend AGMs on allocated blocks in person or via zoomMonthly walk around blocks managed and report to managing agents on findings follow up on items that need to be attended toReceive rental application and open file on the laptop, prepare all docsUpload lease to pay prop and debit order formCreate property, create tenants and create invoices on pay prop.

What accounts are we paying for the Landlord? Have the accounts redirected to the company and ensure the correct amounts are paid every month.

Monthly statements to LandlordMonthly statements to tenants and invoicesAttend to monthly reconciliation of rental payments on an allocated portfolioAttend to monthly account payments for the LandlordAttend to Deposit refund payments within 14 daysLoad deposit processing fee on deposit refundsFollow up on tenants in arrears as per strict process LOD on the 4th of every monthInvestors are to be kept updated on late payments at all timesHave an action plan in place to collect arrearsEviction instructions to be handed to attorneys o.

b.o owner if requestedDownload contracts expiring from pay prop according to the 40 / 80 rule, negotiate renewals accordingly, and ensure all invoices have been loadedWhen warning letters are received by Body Corporate, send them to the tenant and keep track that it is followed up onAttend to problems with water and electricity accounts Maintenance of the portfolio : Portfolios are split to a maximum of properties per personEach Portfolio administrator will have a list of approved contractors that they will work withEach contractor will sign a service level agreement (SLA) which must be adhered toAttend to all maintenance and exit inspection maintenance on allocated portfolio
