Minimum requirements for the role :
The successful candidate must have a matric with good attention to detail.
Previous experience having worked as a Receptionist or Office Administrator managing the Reception as well as all office administration for Senior Management is essential.
The successful candidate must be computer literate and have basic Excel skills.
The successful candidate must be able to multi-task and have good communication skills as the person will be liaising with Customers.
The successful candidate should have a confident and likeable personality being able to build relationships both internally with Colleagues and Customers.
The successful candidate will be responsible for :
Answering and managing the switchboard.
Transferring calls to the relevant departments as well as taking detailed messages and giving it to the relevant departments.
Ordering globe flight flyers and waybills.
Ordering of Company refreshments and groceries as well as stationery for the Office.
Reconciling and managing the petty cash.
Monitoring and recording all petty cash sales for the Accounts Department.
Assisting with booking car rentals for the Sales Staff, as well as other arrangements required.
Handling and organising all Company functions from time to time.
Planning year-end functions for the Company as well as setting up the meeting room for meetings and conferences.
Requesting quotations and preparing yearly calendar and desk pad list for employees.
Preparing and sending weekly invoices, delivery notes, local purchases and documentation to Durban.
Booking and maintaining training records.
Maintaining Office printers and scanners.
