A dynamic security company based in Centurion is seeking the services of a committed and hardworking Office Administrator to assist with the following

Duties :

  • Acting as the point of contact between management staff and clients; Screening and directing telephone calls and distributing correspondence;
  • Providing administrative assistance to management staff; Assisting with client invoicing and other client related queries;
  • Sending client periodic reports; Assisting with daily field staff scheduling; Handling field staff requests and queries appropriately;
  • Managing diary and schedule meetings and appointments; Making travel arrangements; Taking dictations and drafting minutes;
  • Sourcing and procuring office supplies; handling and managing service providers and suppliers; maintaining an accurate office filing system, among other duties.

  • The following skills and work experience are required for a candidate's application to be considered : Minimum of 2 (two) years work experience as a receptionist, office administrator or personal assistant in a services industry;
  • Experience in managing own debtors book and performing full function credit control duties is highly advantageous (including experience with collecting on corporate and consumer accounts and knowledge of full function credit control and bookkeeping principles);
  • Highly professional, presentable and well spoken; Good analytical and problem-solving ability and sound numerical skills;
  • Attention to detail and good organisational skills including the ability to maintain a high level of accuracy in preparing reports, filing, and taking minutes;
  • Excellent conflict and stress management; Excellent verbal and written communication skills, including the ability to effectively communicate with staff and clients;
  • Excellent computer proficiency (Microsoft Office Word, Excel, PowerPoint and Outlook); Ability to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service;
  • Ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines and standard acceptable practices;
  • Must have a valid drivers licence and able to drive.
