As the Office Coordinator a typical day might include :

  • Diary Management Scheduling all appointments Ensuring 5 billable hours per day SMS / Email reminders to all clients before appointments Include stakeholder contact details on diary printout for each day Source address if new client, create outlook contact Process diary printout and reports of previous day Record it on assessment spread sheet Update job card with feedback details Shred printed reports
  • Admin support for coaching function Send weekly coaching email Prepare quotes Prepare coaching packs Schedule coaching sessions Prepare files for invoicing File notes in coaching file Action requests on yellow page Ensure enough white paper in file Create contact lists to send out bulk emails Schedule weekly office coaching meetings Record birthday of coachees and sponsor on birthday list
  • Schedule RMB Management / Development / Candidate Feedbacks Provide daily availability Confirm venues, a specific contact person will be selected in Jan 2018 for RMB Arrange parking, write confirmation on printed diary Confirm appropriate feedback method when not face to face, ensure that skype details are available and invite them on skype Send out reports (candidate feedback) Confirm attendees (SMS where relevant, send request out 15 minutes before meeting) Print reports
  • Schedule Other Management / Development / Candidate Feedback Provide availability Confirm venues and provide directions (if applicable) Arrange parking (if relevant) Create outlook contact Confirm appropriate feedback method when not face to face Confirm attendees, SMS and resend invite Print reports / send report before feedback session
  • Hosting and hospitality Welcome visitors, ensure that they do not park on neighbour’s parking Make coffee / tea Control noise level Schedule office breakfasts Organise special experiences for office staff birthdays Prepare boardroom for office meetings Ensure that office is cleaned properly Print menu and coordinate with Estie
  • Office Management Maintaining office look and feel General office maintenance communicate needs with Anri Counter reading of printer and supply info to Rochelle Check invoice for printer Purchase SMS credits Schedule shaving of dogs Order coffee / tea / mints Order stationary Liaise with Rico to ensure that network is up and that back-
  • ups are made Prepare and update spreadsheet for office meetings / schedule meetings in diary, ensure office meetings take place weekly

  • Project Administration and Co-ordination Confirm venue & dates Confirm attendees Prepare support documentation (parking, directions, attendance register, info packs) Print handout and prepare packs
  • Stakeholder birthday co-ordination Update list, keep track of important people by looking at appointments and managers on psychometric reports Include birthdays on outlook contacts Clean up list and remove old contact from list and Outlook Send well wishes SMS / email Wrap and send out gifts before birthday
  • Coordinate all travel requirements for consultants (local & international travel)
  • File invoiced assessment raw data
  • Complete Consultant’s time sheets (day after consultation)
  • Complete and submit Consultant’s travel claims
  • Assist with CPP Administration when required
  • Any other adhoc administrative support tasks
