MAIN PURPOSE OF THE ROLE : To coordinate processing of Dealer orders and drive sales and customer service through inbound and outbound communication.

INTERNAL (TEAM) INTERACTION (information, support, advice) : Product Managers, Dealer Support Managers, Credit, Shipping, Warehouse : exchange of information, advice and support

E XTERNAL INTERACTION (information, support, advice, persuasion / negotiation) : Dealers : exchange of information , support

TASKS TO BE EXECUTED

CRITICAL OUTCOMES REQUIREMENT

Stock Availability

  • Maintain awareness of stock availability and coordinate arrivals and processing outstanding orders
  • Maintain back-order system
  • Advise General Manager and / or Product Planner on any unusual sales activity and stock movement
  • Advise dealer bi weekly of stock position
  • On time and in full delivery

    Customer satisfaction

    Promote Sales

  • Make sales calls in line with business objectives
  • Receive and support sales calls
  • Maintain product knowledge of current and new models
  • Respond to dealer requests for model information and pricing queries
  • Review dealer sales patterns and history to identify areas of lower activity
  • Contact Dealer Support Manager to determine causes
  • Contact dealer as requested by Dealer Support Manager
  • Contact dealer directly to determine cause and to promote sales
  • Maintain a high level of feedback and interaction with Dealer Support Managers and General Manager in respect of dealer issues, problems, concerns, suggestions, etc.
  • Maximise sales opportunities

    Order Processing

  • Receive order instructions from dealer per fax, e-mail and telephone
  • Liaise with dealers on stock availability / non-availability and credit limits
  • Capture order into system, including backorders
  • Track order progress
  • Ensure dealers are aware of their order status at all times
  • Resolve order queries
  • Interact with Credit in the event of a stop supply
  • On time and in full delivery

    Administration

  • Maintain order records
  • Process corporate store documentation
  • Process rebate payments
  • Maintain dealer contact records
  • Records current and accessible

  • Introduce stock upon arrival
  • Dealer and release units upon invoicing
  • Teamwork

  • Support the Dealer Support Managers and General Manager in achieving sales objectives
  • Participate at promotions and trade shows as and when required
  • Interact with dealers on a face to face basis when required
  • Provide relief sales support to other Motor Product Divisions
  • Team objectives achieved

    Customer service

    Stationary Stock Control

  • Maintain necessary stock levels to ensure adequate supply to department.
  • Accounts

  • Process local invoices on stock supplied or services rendered. Submit requisitions to GM for approval and submit to accounts for payment once processed.
  • Reports

  • To prepare monthly reports for the Commercial Manager
  • Prepare any reporting from Syspro that is required
  • Assist in Preparation of Japan report ( Manufacturers)
  • Travel

  • Administrate and book travel for Motor Division
  • Accuracy

    MOST COMPLEX ASPECTS TYPICAL OF ROLE : Delivering on dealer expectations of sales service levels

  • Problem solving, decision making, interpersonal skills, business acumen, planning, response to pressure, innovativeness, leadership, etc
  • MINIMUM QUALIFICATIONS TO PERFORM ROLE : G12 with Accounting / Mathematics

    PREFERRED QUALIFICATION : Business Administration Diploma

    MINIMUM PERIOD OF EXPERIENCE / TRAINING (DESCRIBE TYPICAL EXPERIENCE BACKGROUND) : 3 years in an administration environment

    P REFERRED EXPERIENTIAL / TRAINING BACKGROUND : Sales Administration

    NOTES : Above average computer literacy on common commercial and communication packages
