One of South Africa’s leading independent services providers is requiring the skills of a Payroll administrator. They have been operating for more than a decade providing innovative products and solutions to the retail industry. Duties include :

  • Prepare monthly payroll file
  • Capturing new employees on VIP and loading the contracted remuneration as per their employment contracts
  • Terminating resigned employees,
  • Processing all salary adjustments for the month
  • Reviewing all expense claims / allowances received to ensure company policy has been applied, capturing all such claims to the payroll system accurately and completely
  • Calculation of leave days’ due
  • Distributing payslips monthly - via Infoslips
  • Understanding all terms and conditions of employment contract variations within the organisation
  • Consolidation and reconciliation of payroll and performance of analytical reviews, ensuring that all employees are correctly allocated to their teams
  • Creating, checking and processing of all payroll related journals into the financial accounting system
  • Reconciliation of all payroll related ledger accounts, ensuring that all unreconciled figures are understood and addressed timeously
  • Addressing pay queries
  • Online application for all medical aid plans selected for new starts using the Discovery portal
  • Monthly preparing and reconciling all medical aid contributions and group life contributions, as well as submitting such payments for processing
  • Liaising directly with Discovery to resolve all medical aid queries
  • Online application of withdrawal of provident funds for terminations where necessary
  • Administrating death claims for Group Life and Provident Fund as necessary
  • Ensuring all other deductions are appropriately authorised and actioned in accordance with existing legal requirements
  • Petrol reconciliation monthly : Extracting petrol card reports from online reporting (Wesbank & MBL)
  • Preparing monthly usage reports of petrol
  • Communicating reports, highlighting overspend & / abuse of petrol cards to management
  • Processing of new petrol card applications
  • Providing ad hoc reports and analysis for management as required
  • Preparing and filing of all SARS related payments PAYE, UIF, SDL (EMP201’s), on SARS e-filing and ensuring payment is made within given timeframes
  • Annual SARS EMP501 Payroll recon preparation & submission
  • Assisting in the processing of all UIF claims as appropriate
  • Applying for tax directives to SARS as appropriate
  • Completing STATS SA questionnaires
  • Addressing personal tax queries as and when they arrive- Tax law knowledge
  • Custodian of all payroll related filing in line with statutory record-keeping requirements
  • Annual Audit (Internal & External) : Assisting with audit preparation and assist auditors HR admin assistance
  • Sound knowledge of labour law principles in so far as their applicability to payroll and remuneration related legislation
  • Intricate and deep understanding of the VIP payroll system Advanced excel skills i.e. Vlookups, Pivot Tables (Not negotiable)
  • Extreme attention to detail
  • Ability to work under immense pressure given the tight timeframes specified
  • Relevant payment industry knowledge will be advantageous

    Job Experience & Skills Required :

    Minimum 3 years in similar role
