Job PurposeProvides administrative support to the respective Key Accounts Off Trade Team. Administer and maintain Channel Customer Report and SpendKey Duties and ResponsibilitiesJob Scope and ContextIndividual JobOffice Based (Gauteng)Office AdministrationKey Account Customer Report ManagementManage and maintain Customer documentation - including Product Master Data by CustomerAll store openings within timeframes set and loop closed on regional promotions, opening adverts etc.

Monthly reports collated and submitted according to agreed timelinesCustomer performance reviews collated and bound within agreed timelinesEnsure that customer master data files are updated.

Listing of NPD forms completed timeously by customer.Reports filed electronically to ensure ease of access for the team (shared drive)Confidentiality maintainedProjects and Adhoc requests (trend analyses) researched carefully and delivered on timeBriefs completed with the necessary rigour and accurately within set deadlines.

Ensure execution of customer adhoc incentives & updated monthly.Research outcomes presented and packaged accordingly (Excel, PowerPoint)Administrative support services provided to facilitate the productivity of the Key Accounts Off Trade teamGeneral administrative support to the Key Accounts TeamMeetings (internal and external) and teleconferences are arranged as required.

Appropriate meeting venue and catering arranged and within budget.Meeting and deadline (submissions) reminders sent out to attendees in advance.

Documentation, meeting packs, reports, and presentations available in advanceCustomer Share of Voice (SOV) trackingAll customer advertising tracked and up to date with detail including competitor comparison reports.

FinanceFinances managed according to PRSA proceduresCredit Card Spend Managed and Captured AccuratelyEnsure Timely and accurate monthly reconciliation of CC spend for each team member.

Support the management of channel budgetAll PO and accruals raised in accordance with the business policiesEnsure monthly budget reports are received from finance and distributed to the teamSchedule regular budget update meetings with key accounts off trade team.

Rebate and Business Plan paymentsManage quarterly payments per customerManage all adhoc customer paymentsStakeholder RelationsProductive relationships with internal and external stakeholders maintainedDevelop a collaborative relationship with the sales and marketing teamsMaintain a professional relationship with brand, sales and events team.

Adhere to strict timelines when procuring POS, stock or other requirements when supporting channel execution.Professional first point of contact with customers and redirecting queries appropriately.

Liaise with customersProfessional first point of contact with customers and redirecting queries appropriately.Customer events coordinated effectively in partnership with KA manager and local events team.
