Position Description :

The opportunity :

A great opportunity has become available for a Compliance Officer who will be responsible for ensuring that TFG stores meet legal legislative requirements and securing certification proof i.t.o SANS 10400.

Responsibilities :

  • Responsibilities would include but not limited to developing and maintaining compliance programs and processes, reviewing and mitigating compliance issues that could impact the stores trading
  • Role includes but not limited to obtaining approved plans and occupancy certificates for all TFG Africa Group stores across 26 brands (existing stores and new store developments)
  • Securing and maintaining creditable store compliance data as required on request by authorised government / municipalities authorities
  • Manage end to end compliance process

  • Responsible for all TFG store compliance, ensuring high priority to stores that are at potential compliance risk of non-conformance to compliance (turnover / profit risk)
  • Risk assessment capabilities
  • Attention to detail
  • Persistent, resourceful and urgent response to risk situations ensuring stores are safe for customers and staff
  • Creating and coordinating proper reporting channels for compliance issues
  • Liaison with Divisional Heads of Ops / Admin Managers / Heads of Finance, regularly to feedback on current spend, trends and challenges, within their divisions / stores and highlighting issues that could have major effect on current budgets
  • Lease with landlords, developers as well as architects for compliance related matters and information including consultants (Fire Engineers & HVAC)
  • Communication with local authorities to manage compliance expectations
  • Improving results and solutions by understanding market developments and council platforms
  • Good people skills and conflict management resolution
  • Product and ever evolving job knowledge (legislation changes related to store compliance & public safety as well as any forward TFG principal driven changes within stores trading environment)
  • Good understanding of SANS 10400 building regulations including fire & safety regulations related to retail stores
  • Manage Key Supplier Relationships

  • Manage supplier relationships on a regular basis as well as doing supplier annual score cards and reviews with line managers
  • Ensuring best practices, pricing and SLA’s implemented with all preferred service providers and that these are maintained at all times
  • Reviewing and renewing supplier contracts annually
  • Always looking for new suppliers and opportunities to improve efficiencies
  • Drive results and outputs through task setting and tracking
  • Strong affective negotiation & coordination skills management of different personalities in order to achieve desired results
  • Manage compliance budget and costs

  • Manage associated external professional fees in line with job scope & agreed contract fees
  • Negotiation of fees and timelines
  • Manage and vetting of all quotations and invoices across all projects to an annual Capex
  • Manage compliance budget across all TFG Africa stores to a projected annual spend of R8m for maintaining and expanding stores across TFG Africa
  • Developing, implementing and managing an organization’s compliance program

  • Planning, implementing and overseeing risk-related programs (potential turnover & profit loss risk if stores are closed by authorities due to non-compliance)
  • Ensuring that deadlines are met and that plans are submitted timeously
  • Follow-up with related parties both internal and external on overdue timelines
  • Engaging with PM’s to ensure that all related COC’s certification are issued in order to apply for store occupancy certification this would include setting up inspections with store Ops
  • Monitoring and reporting on compliance progress all store projects
  • Establish, maintain a secure and credible database

  • Provides audit information to management by researching and analysing data, by means of monthly reporting
  • Establish and maintain a secure database to store legal compliance documentation (approved store plans, COC’s and occupancy certificates)
  • Establishing secure online dashboard for all compliance related information across all TFG Africa stores
  • Requirements :

  • 3 year qualification (Project Management Administration / Health & Safety)
  • National Certificate in Facilities Management
  • Understanding of National Building Regulation (SANS 10400)
  • Min 5 years’ experience in Compliance
  • Competencies and behaviours for success :

  • Project Admin experience
  • Team leadership, communication, customer service, budget management, supplier relationship
  • Compliance working knowledge and experience
  • Building facility management or related experience
  • Proven track record of supplier negotiation
  • Submission of building plans & applications for occupancy certificates
  • Preference will be given, but not limited to candidates from designated groups in terms of the Employment Equity Act.
