Main purpose of the job

  • To operate the switchboard and receive patients, customers or employees, determine their needs and direct them accordingly.
  • Location

  • NeMACRU, Mthatha
  • Key performance areas

  • Answer incoming calls, greeting callers, provide information, transfer calls and / or take messages as necessary.
  • Relay and route written and verbal messages.
  • Answer simple questions relating to the clinical trial centre‚Äôs business, using appropriate reference materials.
  • Ensure that the Reception area is clean and presentable at all times.
  • Welcome and greet patients, customers and visitors.
  • Direct employees or visitors scheduled for meetings to the appropriate person(s) or venue(s).
  • Log the arrival of patients and inform the relevant Study Coordinator of patient arrival.
  • Quality assure patient files : record patient number, visit ID, bloods, treatment etc.
  • Verify patient arrival by marking the diary, note arrival time and screening times.
  • Administer transport logs and communicate schedule to Study Coordinators and Driver.
  • Manage the site petty cash and refreshment expenditure.
  • Keep accurate and up to date records of calls.
  • Update and distribute the telephone lists via email as and when required.
  • Process incoming and outgoing mail, packages and deliveries and distribute it to the correct recipient.
  • Update and maintain regulatory document and master files in pigeon holes.
  • Assist the team with ad hoc administration assignments and duties i.e. filing, photocopying, archiving, labelling etc.
  • Attending off-site meetings and / or some travelling to sites.
  • Required minimum education and training

  • Grade 12
  • Computer literacy
  • Required minimum work experience

  • Minimum 1-year experience as a Receptionist / Switchboard operator.
  • Desirable additional education, work experience and personal abilities

  • May have to manage a number of tasks at one time and may be interrupted frequently to meet the needs and requests of patients and other customers.
  • The environment may at times be busy, noisy and need excellent organizational,time and stress management skills to complete the required tasks.
  • Required to spend long hours sitting and using office equipment and a computer.
  • Some light lifting of supplies and materials may be required from time to time.
  • Attending off-site meetings and / or some travelling to sites.
