My client is looking for an Office Administrator to manage the full administration of their Regional Office i.e. Filing, leave manageemnt, minute taking,, maintenance of equipment etc.

Administration Ensure that the Organisation regional office is kept neatly and tidy at all times Ensure that clients and stakeholders visiting the Organisation Regional Office are welcomed and are assisted to their satisfaction Liaise with the Organisation Head Office on a daily basis Disseminate information to clients and stakeholders Answer calls and pass messages to relevant individuals Ensure that Organisation Regional Office equipment is always in good working order Ensure that the Organisation Regional Office’s stationery is orders are placed in time Generate letters of accepted deals into pipeline, declined, withdrawal from pipeline within 24 hours from the time of receiving instructions from Investment Associates and Regional Manager Format documents according to Organisation guidelines on behalf of Investment Associate and Regional Manager Compile weekly deal stats and reports are circulated every Monday and monthly reports circulated three days after the month end Ensure that the deal stats are accurate and are reconciled with Divisional Executive’s deal statistics reports External and internal queries attended and resolved within two days from the date of receipt Complete Due Diligence files within two days from the time of receiving instructions from Regional Managers or Investment Associates Manage and prepare leave schedule for each month which should be updated on a daily basis.

  • Manage Investment Associates and Regional Managers diaries and prepare daily staff register and to be submitted to the Divisional Executives and his PA;
  • Make travel arrangements for Investment Associates and submit necessary documentation for approval on time prior to the trip Prepare purchase requisitions within 24hours from receipt of relevant documentation Ad hoc tasks and effective project management Carry out ad-

    hoc assignments as requested by Regional Manager and Investment Associates Experience Minimum of two year experience in office administration Strong interpersonal skills Strong organisational skills Good communication skills Attention to detail Business Stakeholder Management skills Qualifications Matric Certificate Office Administration Certificate PC literacy and competency Preferably a financial management or accounting diploma or project management certificate or diploma would be an added advantage.
