Payroll management

  • Responsible for all payroll functions for South African entities
  • Ensure the accuracy of payroll preparation for HomeChoice Group and processing, payroll accounting, tax filing and remittance, benefits maintenance and various special payments
  • Perform a first review of payroll prior submitting to management for review. Ensuring that payment is made by the 27th of each month via electronic transfer to employee bank accounts
  • Maintain the payroll information from HR Personal files, calculation and entering of data
  • Prepare and submit the monthly payments to Provident Fund, Medical Aid and Garnishees, ensuring that the payments are made by the 1st of each month and reconciled to the statements received.
  • Provide Management with the monthly reconciliation

  • Balance the payroll accounts by resolving payroll discrepancies
  • Post Payroll journal and intercompany salary journal monthly, in line with the monthly timetable
  • Reconcile the Income Statement salary related accounts for the HomeChoice Group to VIP monthly
  • Ensure that all reconciled items are to be cleared in the following month which they were identified in
  • Capture and reconcile the salary bank account monthly, in line with the timetable and deadlines
  • Management and review of payrolls
  • Maintain accuracy and integrity of the VIP payroll system information
  • Oversee ESS / Leave administration process
  • Oversee the implementation of policies and procedures within the Payroll Department
  • Responsible for report writing, payroll audits and tax reconciliations
  • Maintain work flow with HR Department
  • Ensure data is processed in accordance with company policies, legislative and statutory requirements
  • Maintain contingency plans, i.e. back-up of payroll in case a restore is required
  • Remuneration and benefits / compensation

  • Responsible for the financial year end increase administration
  • Responsible for end to end processes
  • Manage the administration of the annual bonus scheme
  • Manage the administration of the share option allocation scheme
  • Customer services

  • Respond timeously to inquiries related to payroll workers compensation, ROE etc
  • Provide payroll information by answering questions and requests
  • People management

  • Ensure payroll team members have clear and tangible goals which are assessed bi-annually through the KPA performance management process
  • Plan appropriately, supervise progress and manage the performance of the team
  • Provide supervision of payroll administrators, including their L&D requirements
  • Maximise key staff engagement by ensuring personal development plans are in place, and further develop career growth plans
  • Promote staff engagement by ensuring adequate measures are in place to address pulse survey results
  • Ensure team works effectively with individuals across the business to gain knowledge on strategies, business processes to improve overall profitability and customer service
  • Reporting & analysis

  • Prepare accurate and timely reports as requested by management ensuring all statistics are accurate throughout
  • Generate and issue ad hoc reports through data mining analysis to provide management with key statistics and trends identified and provide recommendations to act accordingly
  • Requirements

    Qualifications & Accreditations

  • Grade 12 (Matric)
  • A relevant tertiary qualification in Human Resources, Finance or Payroll will be essential
  • Relevant VIP Payroll certificate
  • Experience & Skills

  • A minimum of 5 years’ experience supporting finance and accounting GL recons & journals in relevant large and complex Payroll Department
  • Previous role as Payroll Manager or Senior Payroll Administrator or prior people management experience will be advantageous
  • Intimate knowledge of BCEA, EE, SDLA, Income Tax Act, COIDA and other relevant legislation
  • Be familiar with payroll benefits, i.e. Provident Fund, Risk Benefits etc
  • Solid VIP Payroll (Premier) working experience
  • Knowledge of labour legislation (BCEA, LRA, etc) and Tax
  • Computer literacy (MS Office) advanced Word, proficient Power Point and Excel knowledge
  • Proven track record to minimize errors, waste and maximise value add
  • Experience within a Retail environment would be advantageous
