Scope and Purpose of Position
The Office administrator supports the Director and Management team in working to achieve a cohesive and efficiently run environment.
To support the director ensuring that we always deliver the service excellence to all our clients by providing quality service and communication in timeously and professional manner.
Main Duties & Responsibilities
Labelling requirements for our products, ensuring that artwork for this is correct and arranging the printing of labels needed.
Ensure and follow up the screen printing of our bottles and Jars and that deadlines are met.
Responsible for arranging quotations of all packaging requirement.
Research new packaging when we need to
To follow up outstanding purchase orders with our suppliers to ensure that deadlines are met.
Communicating with our manufacturer Aerosol.
Maintaining and completing our Entire Database of clients local and international
Managing appointments for our Director.
Follow up that the relevant departments tasks are on schedule on behalf of the Director.
Maintaining a task list that you will forward to heads of department and ensuring these are prioritised.
Communicating with Clients to ensure service excellence.
Responsible for maintaining MSDS and COA documentation
Maintaining the files for our large Client Groups, this needs to include all camps listed under the group, their product selection, spa menu and special instructions as per the client.
Compiling minutes of weekly meetings.
Assisting Director with general administration as needed.
Adherence to Standard Operating Procedures
Proficient in using Microsoft office.
General office filing
Attend departmental communication briefings and meetings.
Ensure that all communication is handled in a timeously and professional manner
Ensure that all client requests are forwarded to the relevant departments and that any complaints are reported and handled with service excellence in mind.
Ensure that communication is handled as per our Company procedures, especially with regards to new client enquiries.
Able to proactively market to new clients and promote the healing Earth Brand
Client Courtesy calls to ensure after sales service.
Research clients that may be an opportunity to grow our Brand.
