Sectional Title Portfolio Manager


  • The primary focus of the Sectional Title Portfolio Manager is to manage all facets of their portfolio and to ensure accurate, consistent and prompt financial and administrative management which should be in line with world class service delivery and in accordance with the management agreement.
  • Objectives

  • The main objectives of the Sectional Title Portfolio Manager will be : - a) Achieving world class service, consistently b) Effective utilization of the Unibase System and Qdocs c) Detailed understanding and application of the Sectional Titles Act d) Detailed understanding and application of The Companies Act e) Understanding and application of South African Property Law f) Efficient financial &administrative management and reporting which includes accurate budgets, financial statements, trial balance, all Unibase accounts, debtors and creditors applied in a time efficient and accurate manner g) Participate in and play an active role in the Sectional Title Division’s overall strategy and objectives
  • Management

  • Manage all support functions to achieve the role objectives and outcomes required
  • Role scope, activities and timing (from management agreement) :

  • Category Task Frequency
  • Bank Accounts
  • Get a bank mandate signed (Investment Accounts)
  • Open Investment Accounts
  • Transfer of funds between Trust and Investment Accounts
  • Once off signed by 2 trustees
  • When required
  • From the 25th till month end (ensuring that trust account is never overdrawn)
  • Insurance
  • Arrange regular valuations
  • Renewals done timeously
  • Ensuring premiums are paid to date
  • Insurance certificate requests
  • Insurance Claims Management
  • Insurance Excess (Prescribed Management Rules 29)
  • Every 3 years (trustees)
  • Anniversary of the policy (monthly monitoring on complex control schedule)
  • Monthly / Annual
  • Refer to broker
  • Enforcement of Act and Rules
  • Advising of Sectional Title & HOA matters, supporting the trustees
  • Maintenance and Service Providers
  • Building Assessments
  • Regular Complex Inspections
  • Maintenance Planning
  • Maintenance Issues
  • Fire Equipment
  • Service Providers
  • Review of the SLA
  • Contract with the complex
  • Quarterly
  • Ongoing in line with Budget
  • Annual (monthly monitoring on complex control schedule)
  • Annually
