Primary Purpose and Scope of the Job : To undertake administrative functions and perform tasks related to Private Client business, collaborate with the Servicing Team and assist with other general adhoc tasks as may be required from time to time.
Description of Position : Undertake and execute tasks in an accurate and timely manner. Prepare all relevant documents and gather information needed for new clients and annual reviews of existing clients.
Work closely with and provide support to Advisors. Plan and facilitate a client diary system including appointments and annual reviews with Advisors.
Effectively communicate with clients regarding appointments, documents, birthdays etc. Compliance with all FICA, TCF, POPIA and other relevant legal requirements.
Deputies for the Receptionist when she is on leave or when needed to be away from her desk as may be required from time-to-time.
Answer calls, take messages, receive clients and manage meeting room bookings. Be fully competent in all the necessary systems and software, including Xpan, to execute required tasks.
High standard of email and written correspondence to clients done promptly. Maintain good working relations with all service providers.
Undertake ad hoc tasks and requests as may be required. Interpersonal skills : Project a positive and professional attitude at all times and act as a team player.
Use discretion and balance assertiveness with being personable. Be able to work well under pressure and keep emotions in check.
Be self-motivated and organized. Display good interpersonal skill and work well within the greater corporate team. Possess good written and verbal communication.
Exhibit discretion and maintain the confidentiality of information. Be able to prioritize and multi-task, especially when dealing with multiple responsibilities and short timelines.
Demonstrate aptitude to give attention to detail. Education & Experience Preferable : Degree in Commerce, Finance, or Business Administration with a minimum of 5 years’ experience.
Essential : Matriculation Certificate and a Diploma in business administration, Commerce, Finance or Investments. At least two years’ experience in administration and back-office support at a unit trust company linked investment service provider or medium-sized financial planning company.
