The Branch Assistant is responsible for ensuring that all branch activity takes place in full satisfaction of the clients needs and requests for service.
Grade 12; At least 3 years of experience of having worked in a sales focused organization or department as well as a service department;
Similar length experience of having worked in a customer facing capacity; *1. SERVICE ADMINISTRATION AND CO-ORDINATION : * a) Attending to service calls and requests to assist with breakdowns and understanding the client needs;
b) Compiling quotes for clients requiring consumables c) Assisting in planning with branch manager and the service technicians, on a proactive, planned basis the service and maintenance requirements of clients and issuing of quotes on such a proactive basis;
d) Following up on the acceptance of quotes by clients when technicians are not able to; e) Loading of branch orders for parts and consumables, when branch manager is on leave, and when trained on Syspro;
f) To ensure invoicing is completed 24 hours after service work has been done and invoices sent to client within 24 hour time period.
g) Invoicing of all consumable orders and service reports. h) SCTS and branch orders. i) Compile minutes for branch meetings;
2. CLIENT LIAISON : * a) Receiving calls from clients for service, maintenance and quotations; b) Keeping clients informed with the progress of their service requests and calls;
c) Ensuring messages are communicated to all staff; d) Receptionist duties; e) Attending to all client communications ()*3.
INVOICING : * a) Loading SCT for stock; b) Loading client consumable orders; *4. * *GENERAL TASKS : * a) Deal with all office requirements such as purchasing groceries and stationery;
b) Updating customer files, machine files and service files; c) Updating customer lists d) Distribute customer collections from Branch, and liasoning with Courier
