Executive Assistant (Legal) An global Oil & Gas business is looking for an Executive Assistant with strong Legal experience to provide administrative and personal assistant support to the Regional Counsel and Tax Manager.
This will include paralegal work, corporate governance, database management, general filing, general administrative work, PA support and tracking of tenders.
Minimum Requirements : Completed matric, with legal / paralegal qualification5+ years' experience in a legal environment5+ years' administrative experienceExperience working in a project environment with tendersFluent in English (written & verbal)Computer Literacy (Microsoft Office)Ability to deal with confidential and private documentationAbility to handle a pressurized work environmentKey Responsibilities : To provide administrative support to the Regional Counsel and Tax Manager and their teamsTo provide PA assistance to the Regional Counsel and Tax ManagerTo ensure the confidentiality and security of all documentsOrganising diaries, including the scheduling of meetings, issuing of calendar invites and booking of conference / meeting roomPreparing of legal documents as instructed by the Attorneys and Regional Counsel, such as demand letters, authorisation letters, NDA, VA, Assignment and Novation Agreement, PoA, resolutions, representative agreement initial draft, representative termination letter initial draft, et al)Tracking ongoing tenders (tracking progress, and paperwork)Act as a front line to the department (greeting and screening of visitors, answering telephone calls for legal and tax departments)Taking calls and messages in a professional mannerMaking appointments where requiredGeneral typing of documentationEditing documents ( redlines / Word)Keeping record of information (creating folder matters, bids / tenders, HR025 (C) 04 / 2015 Legal Docs Portal, Legal Tracker, outside counsel database, MER legal entities database, MER PoA)Preparing and maintaining reports (BAR Sheet, Summary of Invoices, Boycott Report, organizing case files)Dealing with visasBooking all required travel arrangements (flights, hotel, car rental, etc.
and other support required for travelManage the day-to-day operations of the teamProviding instructional work to the teamReviewing emails and administrative work for the teamDeveloping and supervising reportsRemuneration : R22,000 -
