Manage the efficient functioning of the office through a wide range of administrative tasks. Ensure tasks are completed on a day-to-day basis.
Efficient, accurate and timely output of typing, data capturing, copy typing and filing.
Effective inter-departmental communication.
Effective telephone answering and delivery of messages.
General office administration and housekeeping.
Management of electronic diaries.
Liaison with inter departmental and outside customers.
Performance ad-hoc tasks given by Managing Director and Financial Director and HOD''s.
Organizing of Venues and co-ordinate functions ie Woman’s Day, Year-end Functions, Health & Safety LTI free, Conferences.
Production reports daily.
Support the needs of HOD team.
Coordinates site visits.
Arrange and Coordinate travel plans and reservations.
Update weekly / monthly business review reports.
Update relevant documents for monthly management meetings.
Administrator for company cell phones.
Manage the Receptionist, Driver and Contract Cleaners.
Maintain internal phone lists / distribution lists and ensure recorded in the phone system
Action all fax / fax orders, directing to the relevant person / department as required for action.
Maintain and purchase refreshments and supplies for the site, as required.
