Summary of Responsibilities :

Reporting to the Director of Sales & Marketing, responsibilities and essential job functions include but are not limited to the following :

  • Answering of Sales & Marketing department phones when Sales Managers are out of the office
  • Qualifying enquiries coming in and assigning them to the Sales Manager in charge
  • Monitoring the Sales & Marketing inbox and making sure all enquiries are answered by the Sales Managers in a timely manner
  • Assisting the Sales Managers with creating proposals and contracts using Opera S&C and WORD document
  • Assisting Sales Managers with rate evaluations in MyRPMS in conjunction with Revenue Manager
  • Compilation of Owners’ monthly and quarterly presentations
  • Compilation of FRHI quarterly business review presentations
  • Assisting Sales Managers with internal group handovers
  • Assisting Sales Managers with Site Inspections and Prospecting calls
  • Writing reposts and creating presentations as requested by Sales & Marketing Director
  • Maintaining DART website and managing referral process
  • Assisting with individual global account RFP process
  • Spearhead small sales projects, events and Action Plans along with the DOSM
  • Maintaining current sales and promotional literature and have a complete knowledge of hotel’s services and facilities
  • Organising meetings, this may include typing the agenda and taking minutes
  • In charge of updating and monitoring the colleague’s schedules, vacation leaves and sick leave and updating of monthly Master Payroll document
  • In charge of completing Sales Month End Reports and Sales Incentive procedures
  • In charge of ordering and maintaining office supplies
  • Managing internal departmental Purchase Orders and Invoicing
  • Assisting with expense claim reports
  • Actively participates in prescribed sales training
  • As directed, assists with the compilation of competitive intelligence information
  • Attends all sales meetings
  • Maintaining positive relationships with all guests, vendors, colleagues and global sales network
  • Assuming other duties as assigned by the Director, Sales & Marketing
  • Qualifications :

  • Previous experience in a similar role
  • Minimum High School Diploma, Business School and / or Hotel School Diploma preferred.
  • Full proficiency in all office procedures and clerical duties
  • Computer experience at intermediate to advanced level is mandatory with knowledge of Windows 2000 (Excel, PowerPoint and Word, Access)
  • Keyboarding speed of 75 wpm will be an advantage.
  • Must be a strong team player, professional and enthusiastic with excellent organizational skills, creativity and be a self starter
  • Must be able to work with a team of 6 or more Sales Managers
  • Must be able to prioritize, organize and be self-efficient.
  • To be flexible with time, in order to meet a busy sales department / guest needs requirement
  • Sales experience in a hotel environment is an asset
  • Visa Requirements : Must be legally eligible to work in South Africa
