The Role :

We are looking for an energetic and vibrant Assistant Admin Manager to join our administration department in Randburg.

Responsibilities :

· Supervision of all vendors, including security and cleaning vendors)

· Construction and refurbishment project management coordination and administration

· Manage the day-to-day building facilities including interaction with the Property Management Company / Landlord and other departments to remedy all problems arising at the buildings.

· Manage any emergency which may arise on a day-to-day basis at the buildings.

· Work closely with contractors, electrical / mechanical, when moving / installing generators for buildings.

· Planned maintenance and refueling of generators and issuing requisitions for refueling.

· Management and control of the Landlordâ??s service and maintenance contractors whilst on site.

· Keep accurate record of events for the building, e.g. repairs maintenance, plumbing, electrical, small works etc. and monitor work progress up to completion.

· Managing security and access control for staff, contractors and visitors including the allocation of parking bays and related paperwork, dealing with vehicles incorrectly parked etc.

· Program and maintain all access control discs / remotes at buildings under your supervision.

· Efficient management of the company Driver / s and maintenance of vehicles.

· Efficient management of cleaning staff and consumables ensuring good standards of hygiene and cleanliness are maintained throughout the building and well as staff common areas â?

  • bathrooms, canteen etc.
  • · Report any issues occurring at the building to the Property Management company when conducting inspections.

    · Liaise with the Landlord to ensure that all service contracts (OHS and non-OHS Items), are met and servicing is carried out timeously and to standard, e.

    g. Fire equipment, gutter cleaning, roller shutter door servicing, lifts etc. and keeping proof of service for those items which are the responsibility of the Company as the Tenant.

    · Service Management â?? SLAâ??s : these include all services from Electrical Maintenance, Handyman Services, Waste Management, Parking Management, Security Management, Lifts and Escalator Maintenance, HVAC, Cleaning, Fire Sprinklers, Smoke Extraction, Smoke Detection, CCTV Systems, Pest Control, Access Control, Landscaping and IP Network

    · Ensure compliance with statutory requirements relating to commercial and industrial properties

    Skills and Experience :

    Minimum Requirements :

    · 15 â?? 20 years commercial property facilities experience

    · 10 â?? 15 years Call Centre / BPO Experience

    · Management of team of 10 or more staff.

    · Administration, facilities, and procurement experience a must

    · Property / Facilities related qualification preferred.

    · OHS Qualification / Training preferred.

    · Good understanding and knowledge of Gauteng and surrounding areas
