Our client is in the Interior Design and Architect industries and is based in Cape Town.
Job Description
implementing and maintaining admin procedures / office administrative systems
Basic front desk responsibilities incl. managing pabx system; handling courier deliveries and collections; relaying messages;
communicating studio alerts to staff; set up OOO for all; etc
Maintaining IT & AV hardware and software and liaising with outsourced IT support team to ensure all systems are running smoothly to ensure productivity
Managing a range of design software packages (autocad; enscape; sketchup; revit; adobe programmes; etc
Organising boardroom meetings and catering
Maintaining upkeep of studio furniture
Assisting with employment equity submissions
All travel arrangements for staff
Overseeing cleaning staff
Receiving and issuing deliveries & couriers
Ordering stationery and managing office storage
Organising induction programmes for new employees
Ensuring that health and safety policies are up to date
Minuting weekly status meetings with design team
Assisting the organisation’s HR function by keeping personnel records up to date, arranging interviews and so on.
Studio security : managing keys; opening and closing procedures; alarm systems; etc
Collating of staff timesheet information and issuing to financial manager
Manage and update asset register for insurance purposes
Matric
Diploma in Business Administration or Secretarial Diploma or similar
Skills
Strong organisational skills
Strong IT skills ( MS Office; Autocad; enscape; revit; adobe programmes
Strong communication, negotiation and relationship - building skills.
