POSITION OVERVIEW The Sample Operations Manager is responsible for overseeing all sample-related operational activities, suppliers, systems and platforms used in the execution of research projects.

While balancing client needs, suppliers and internal demands, the Sample Operations Manager works with a team to ensure consistent quality of outputs and on-time delivery, all within budget.

Superior project management skills, excellent planning abilities, strong operational execution, on-the-fly problem solving ability, and people management skills, are key to success in this role.

The ability to manage concurrent projects, utilizing a combination of sample sources and, methodologies, while under the pressure of tight timelines, is critical in this role.

The Sample Operations Manager is resourceful and utilises partners and experiential knowledge to lead in an environment where high levels of complexity exist.

The Sample Operations Manager is responsible for researching, testing, and implementing new sample sources and suppliers with the objective of establishing a network of high quality, reliable and commercially appealing options.

Sample quality directly influences project success and to this end, the Sample Operations Manager defines quality controls and directs the Team and specifically Quality Controller in ensuring quality throughout the process.

As a member of the leadership Team, the Sample Operations Manager participates in MANCO, and other operational committees and is expected to contribute to and drive sample related initiatives.

REQUIREMENTSRecognised Project Management, Operations, or Business-related degree.Minimum 5 five years project or operational management experience.

Minimum 3 three years people and general management experience; including leading a team of diverse members.Ideally some experience working with online, digital sample sources social media, panels or communities .

Proficient in Microsoft and Office tools; specifically, MS Teams, MS Outlook, SharePoint, Excel, PowerPoint, and Word.ROLES & RESPONSIBILITIESStrategy Input and Execution contribute to the development and execution of the operational strategy Input into sample-related operational strategy.

Input into budgets.Active participation in, and contribution to, MANCO and other operational committees.Business Development Support provide commercial and operational input into proposals and costings Assist the New Business and Client Service Directors with proposal support by providing input into operational and commercial considerations as well as timelines.

Attend sales and other relevant business development meetings to ensure operational alignment to deliver against sales.Leadership coordinate, lead, mentor and evaluate performance of team members Define Objectives & Key Results measures OKRs that drive performance, for all team members.

Career management, succession planning and development of team members. Carry out disciplinary obligations relating to direct reports, when required.

Finance and human resource-related approvals such as leave, training and travel related expenses.Operational Managementand Metrics effective daily management and reporting on data collection related tasks Application of organisational project management software in the Team to support effective project management.

Daily capacity planning and resource management across the team to ensure consistent, on-time, quality delivery.Weekly and monthly reporting on operational metrics in MANCO and other forums.

Sample Matrix Management understand, access, and apply the matrix of sample sources to meet project objectives Social Media : working with the Digital Media Specialist to drive experimentation with new social media platforms, new features, platform account management and protection of companys social media accounts from blacklisting and blocking.

Face-To-Face : support Field Co-Ordinators in building relationships with a network of reliable Supervisors and interviewers .

Telephonic : support Field Co-Ordinators in building relationships with a network of reliable Supervisors and interviewers .

Mystery Shopping : support Field Co-Ordinators in building relationships with a network of reliable Supervisors and interviewers as well as crowdsourced shopper providers.

Panel Sample : build and maintain relationships with a network of reliable Panel sample providers.Constantly explore new sample sources with a view to trial and build on the existing sample matrix.

Direct the Team in the exploration and implement of technology to improve efficiency and quality in all sample-related processes.

Sample Quality ensure quality throughout the data collection process Foster a quality-in-all-we-do Team culture.Implement and monitor standard operating procedures for quality checking data during collection and on completion.

  • Define and hold sample suppliers individuals as well as organisations accountable to defined quality standards.Incentive Management ensure effective management of research incentives Support Team members in the effective management of all research participant incentive processes;
  • from supplier management, prize selection, prize purchase, winner notification, through to delivery and receipt confirmation.

    Problem Solvingand Improvement play an active role in identifying problems and driving resolution Identify and drive a culture of problem resolution, learning and effective sharing of lessons learnt across the team.

    Improve processes, tools, and policies in support of Team and organizational goals.Operational Administration carry-out administrative tasks related to data collection Establish and maintain a database of global sample suppliers.

    Ensure all suppliers have appropriate commercial agreements in place.Review and negotiation supplier terms and rates.Track and share sample-related costs relative to budget in MANCO and other operational committees.
