Accountabilities Accountability : Resource and pipeline management
Develop and implement a 2-3year resourcing strategy, ensuring there is sufficient capacity on the bench of in-house resources needed to either augment or support key strategic initiatives according to the demand and capacity methodology
In collaboration with capability heads create organizational charts and define each position’s responsibilities
Build a talent pipeline that aligns with our hiring needs and Book of Work objectives
Partner on projects to aid continuous improvement and implement improvement programmes (e.g. changes to working practices, organisation changes and business excellence or lean programmes).
Oversee the day to day management of the recruitment process, including reaching out to wider group, reviewing job descriptions, external advertising / sourcing from 3rd parties, updating of the Change and Transformation resource plan, sifting and selection of CV’s, attending interviews and selecting candidates In conjunction with the capability leads create and maintain a skills database
Build project succession plans
Interface with the operational business partners in RBB determine future requirements and emerging trends in the business.
Accountability : Workforce planning
Leads and maintains the accuracy of long and short term forecasts and schedules for all the business units and aligns it to the workforce methodology.
Provide governance and management of the demand pipeline and act as primary partner for the business functions to capture, structure, align and plan business demand and match this demand with the IT supply functions’ capacity.
Work closely with the Change Leads to plan and execute the business and financial planning process annually
Work with representatives from across the organisation to develop an approved and evolving multiyear projects roadmap that aligns with the capabilities, goals and policy delivery initiatives
Ensure a consistent approach is adopted to all elements of capacity planning and resource management across teams, culminating in a central coordinated accurate portfolio view of activity at all times.
Forecasts the volumes and workloads based on past data analyses.
Oversees the process for the capacity planning of the actual staff required for business efficiency.
Informs financial initiative budgeting process, by providing forecasting plan and reach agreement on the final budgeting figures.
Contribute to the recruitment process as required to ensure that the area attains and retains a highly skilled workforce
Accountability : Tools management, analysis and reporting
Implement tools to manage resource capacity and utilization
Align to group standards regarding workforce time management
Generate capacity management reports to track the utilization of resources including monthly capacity reports illustrating current capacities, capacity trends and forecasts
Provide tools and processes to facilitate analytics to uncover opportunities for improvement
Develop the availability plan in consultation with key stakeholders
Perform infrastructure and resource sizing for the services to ensure required service levels are met and review them periodically
Analyze the data collated on service performance to identify potential bottlenecks and work with the other service operations teams to resolve them
Monitor resource utilization of the services and track them, perform trend analysis and generate reports
Monitor and control the capacity and availability management process against the plan for performing the process and take appropriate corrective action
Monitor the trends in capacity utilization, and availability and performance of services
Evaluate the relevance of new technology trends on the current service provisioning processes and plan accordingly.
Accountability : Supplier relationship management
Recognized internally as a Subject Matter Expert in Supplier Relationship in Change and Transformation
Shapes, leads and coaches others in securing investment and resources both internally and from suppliers and establishes mutually beneficial business relationships.
In collaboration with Sourcing troubleshoots and improves supplier relationships and relationship development processes / initiatives / partnering models across the business by developing innovative ideas and concepts and benchmarks efforts for quality and sustainability
With Sourcing manages the development of Supplier relationships for future requirements.
Works collaboratively with Supplier Management and Group leadership to build and leverage different partnership models.
Develop positive and collaborative relationships with internal / external suppliers that enable effective and constructive challenge and support, to ensure the desired outcomes are met
Accountability : Supplier performance management
With Sourcing conducts systematically, supplier reviews and communicates supplier feedback to external and internal audiences.
Develops with the supplier and consistently uses a multi-tiered, 2 way score card covering all the key service attributes required for effective service delivery.
Guides other within their area on the most effective way to performance manage suppliers.
Proactive management of business conflicts to deliver resolutions at speed and ensure negative impacts are mitigated
Accountability : Contract and Service management
Achieves delivery excellence by using their detailed understanding of an individual, medium complexity, product / service agreement, and its legal language along with the proactive and effective application of their contract value delivery / service management knowledge.
Plans proactively and runs effective delivery performance meetings with the change leads and suppliers identifying areas of improvement for both Change and Transformation and supplier.
Investigates and quantifies changes in the product / service agreement scope of work or timing of the work / services and assesses options to achieve best value and alignment between Change and Transformation and the contractor.
Ensures all variations are formalised before the revised activity commences and that all documentation complies with Absa standards.
Creates and maintains a repository for all contracts and work authorizations
Ensures a repository is created and maintained to house key documents pertaining to supplier relationship and individual contracts
Accountability : Financial Management
In collaboration with Sourcing extract savings by working with key projects with work being directed to correct suppliers -
this ensures no duplication of fees for agencies already being paid on retainer. Ensure Absa’s mass buying power is leveraged this way.
Ensure financial management undertaken in line with contractual requirements through alignment to group rates cards for use by suppliers, spot-checking of invoices.
Ensure each project has a cost profile that supports the payments profile agreed with the supplier
Ensure all purchase orders are raised in alignment with agreed contracts and work authorizations
Assurance that payments to suppliers are made timeously and in alignment with terms negotiated in the relevant contracts
Role / Person Specification : Education and Experience Required
B-degree in (Resource management) (NQF level no. 5)
10 years (Technical / Managerial) experience)
Knowledge & Skills : (Maximum of 6)
Knowledge of statistical tools and processes, compulsory.
Sound knowledge of Sourcing & Supplier Management policies and procedures (Advanced)
Excellent commercial acumen and gravitas which builds confidence (Advanced)
Minimum 5 years’ Capacity planning and monitoring experience.
Minimum 5 years’ Team management experience.
Expertise in Capacity Management.
