Job Description

SIQALO FOODS is seeking a Site Administrator to join our Spreads Division. The role will be based in Boksburg and report to the Manufacturing Executive.

SIQALO FOODS is looking for an individual to perform all administrative and secretarial functions required by the Boksburg site.

Minimum RequirementsSecretarial Diploma or any related qualification2 years secretarial and administrative experience Excellent MS Office skillsA Valid Driver's licenseSAP experience would be advantageousDuties & ResponsibilitiesGENERAL ADMINISTRATIONPerforms secretarial duties and attends to routine and specific matters of a business for the site leadership teamManages the calendar and independently schedules appointments.

Screens incoming calls and correspondence and responds independently when possible.Arranges events or conferences by arranging for facilities and caterer, issuing information or invitations and coordinating logistic requirements for visitors.

Prepares records such as agenda, notices, minutes and resolutions for site meetings.Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings.

Maintains office environment and equipment; coordinating maintenance and repairsArranges the receiving and distribution of mail and courier requirementsFacilitates and collates documents related to the expense claim process as required.

General Site Goods / ServicesContinuously drive P2P process as per company Finance and Procurement policy Create workflows / raise POs for monthly and adhoc general site services / goodsAttend to payment queries loaded on SharePoint as they are createdCompile accruals for each month at financial month-endSubmit vendor applications on behalf of requestors as requiredContinuous and annual renewal contract monitoring and verification ensure goods / services are as per contract by liaising with onsite contract owners, sourcing specialist and supplier Review contract conditions vs.

actual services / goods rendered OFFICE & ADMIN SUPPORTConduct travel bookings for site employees as requiredCreate expense claims for executives / leadership team as requiredSecure calendar / meeting bookings for executives / leadership team as requiredBoardroom bookings and equipment control all site meeting venues as requiredArrange catering for all site meetings / events as requiredControl visitor PPE SITE COMMS, EVENTS & MEETINGSDistribute e-mail communication / notice board updates Arrange site leadership team meetings & strategy sessionsArrange year-end function, retirement events and other site functions Drive social development plan for the year including social employee engagements and South African holiday celebrations to improve participation and support diversity plansIdentify cost saving opportunities PROCUREMENTReduce maverick spend by monitoring goods / services purchased and communicating contract opportunities to sourcing team Reduce contract leakage by ensuring POs are created for new contractors Reduce retrospect by monitoring PO creations submitted and raising non-conformances with Cost Centre Manager Reduce number of per spec orders by supporting materials codes for regularly purchased goods / services Reduce open orders by following up with requestors and suppliers
