Duties and responsibilities :

Stakeholder Management

  • Liaise, and manage relations with Protection Services on matters pertaining to student safety, and student death on and off campus.
  • Liaise with the South African Police Service on matters pertaining to student cases.
  • Refer students to Student Counselling and Development for counselling in emergency cases.
  • Liaise, and manage relations with Housing and Residences Affairs for temporary and long- term accommodation, which is informed by the case at hand.
  • Liaise and manage relations with Finance and Financial Aid on matters pertaining to student finance and funding.
  • Liaise and manage relations with Kovsie Sport pertaining to sponsorship requests involving sporting codes.
  • Liaise and manage relations with Faculty Deans and Managers on matters relating to academic appeals and specialised academic requests.
  • Liaise and manage relations with the Centre of Teaching and Learning on matters relating to the transitioning development of students or their academic advising, access and success.
  • Liaise and manage relations with Student Academic Services pertaining to prospective students, registered students or their parents / family with general academic queries.
  • Liaise and manage relations with CSRC, Student Organizations and Associations on matters relating to sponsorship of organisations and associations.
  • Liaise and manage relations with Social Support Officers of QwaQwa and South Campus on matters relating to student emergencies on these campuses that require financial intervention.
  • Liaise and manage relations with the International Office on matters pertaining to international students and international projects.
  • Liaise and manage relations with Doctors, Specialists, Private and Public Hospitals on matters relating to registered students and their emergencies.
  • Liaise and manage relations with the Student Health & Wellness Centre pertaining to student emergencies related to their health.
  • And liaise and manage relations with any stakeholder relevant in a student social support context.
  • Institutional Sponsorship Fund

  • Manage the budget, compliance check and administer all sponsorship requests for all three campuses.
  • Support and provide guidance to students making a sponsorship application.
  • Assess, produce cost projections, and investigate the risks in order to make recommendations to the Executive Director for financial sponsorship of students.
  • Manage the fund accordingly for every academic year.
  • Process and create Requisitions for issuing of Purchase Orders.
  • Receive and approve invoices for payments of service providers.
  • Create and process Travel Authorizations and Cash Advances for students travelling.
  • Facilitate the submission and processing of Invoices to Creditors for payment.
  • Facilitate journal transfers for institutional service providers.
  • Manage and keep record of all expenses, invoices, POs, approvals and motivations.
  • Liaise with International embassy, for international sponsorship.
  • Support to the Executive Directors Office

  • Provide high level advice to the Executive Director on issues of social support and student related matters.
  • Provide input to arising social support matters in the environment.
  • Make financial recommendations to the Executive Director on sponsorships.
  • Stand in for the Senior Officer of the Executive Director, in her absence.
  • Represent the Executive Directors Office at :
  • Social Support Committees, Task Teams and Forums.
  • Any established social support structure convened to respond to a particular need at hand.
  • External stakeholders such as SAPS, bereaved family and friends, memorial services, funerals, prisons / holding cells, hospitals and any social care physical setting.
  • Institutional Social Support Project Management

  • Develop new and relevant institutional policies for the social support office.
  • Provide inputs on Student Affairs policies with a social support perspective.
  • Monitor, review and evaluate existing institutional social support Policies.
  • Organize and oversee events within the social support office.
  • Streamline, and oversee events within the DSA that are related to social support.
  • Monitor and report progress on all institutional social support programs.
  • Identify new programmes or service offering to promote social support objectives.
  • Conduct needs assessments or surveys to determine interest in, or satisfaction within, social support services.
  • Inherent requirements :

  • A Bachelor’s degree on NQF level 7.
  • A minimum of two (2) years’ relevant working experience related to the duties and responsibilities.

  • The ability to make decisions through consultation, collaboration, and working with close supervision.
  • The ability to interact with others and establish personal connections with people.
  • A Bachelor’s degree on NQF level 7 in a Humanities discipline will be advantageous.
  • Working experience in the Higher Education systems processes and practices preferable within the Student Life practices and governance environment.
  • Experience in Project Management.
  • A valid Driver’s licence.
