Job Description :
To compile and manage day to day business projects, including the project plan, for the various Finance and HR Services Project Initiatives to ensure project deliverables are achieved on time and within budget
Provide full-time support to project teams
Integrate inputs and outputs between the project streams to escalate project delivery and address dependencies between streams.
Accurate, correct and timely integration of different work stream activities into the project plan according to agreed standards and timelines.
Solicit and coordinate inputs of project stream members and other functionaries by having one on one meetings or group discussions.
Ensure continuous progress of project stream work between project meetings and when project members are engaged on other business demands.
Package and draft proposal documents from the inputs received from the interviews and discussions.
Provide support to the Projects and Programmes Specialist with documentation of project deliverables.
Formulate business case for each project and tracking delivery of benefits as project progresses.
Ensure that adequate change management and communications processes are embedded in each project.
Manage projects, resource requirements and service change requests.
Effective and efficient driving of the project to achieve agreed milestones and timelines.
Accurately and correctly prepare draft proposal documents according to agreed standards and timelines.
Effective and efficient documentation of project deliverables according to agreed standards and timelines.
Achievement of business case benefits for each project that is managed.
Review project planning with a focus on resource planning (and funding), to ensure internal and in-bound projects have the appropriate set-up for success.
Maintain a focus on adequate project resourcing through the project lifecycle.
Embed and maintain an integrated GSS strategic projects roadmap incorporating all GSS strategic projects, identifying and tracking inter-dependencies across the roadmap.
Ensure risk mitigation actions are in place to ensure continuity of service and minimum disruption to both existing operations and processes.
Ensure timely and effective reporting to key GSS, Functional and Business stakeholders related to programme performance across your projects.
Maintain project reporting in the prescribed functional format (most likely Smartsheets).
Co-ordinate and deliver the comms and stakeholder management between Project and Programme managers and the GSS lead
Support and input into local change impact assessments and defining criteria for local change
This role is at a Band 6 / 12 level reporting to the Programme and Projects Superintendent
Qualifications required :
A National Diploma or Degree (essential)
PMP (Project Management Professional) Certification or equivalent preferred
Experience required :
7+ years of experience in business project management, in process (rather than system) management
Experience working on large scale, complex initiatives
Experience in a Shared Services project environment
Experience in programme management from strategy through to implementation
Experience in project governance management
Experience in change management
Experience of relationship management involving multiple stakeholder groupings
Experience of developing process, procedures, controls documentation
Experience of working across a global blue-chip business within multi-cultural working environment
