Position Description

Function / Department : Customer Service Customer Contact Team

Position Title & Location : Hire Stock Auditor, Kraaifontein

Position Purpose :

To ensure proper management and control of CHEP assets by risk analysis, physical verifying and auditing the stock levels and customer controls of CHEP products through Hire Stock Audits.

To provide both office based and on-site support to clients to ensure that the integrity of the pooling control system is improved, client queries and control issues are dealt with quickly and effectively and the perception of value for money and customer care is entrenched in the minds of our clients.

Major / Key Accountabilities :

Responsibilities Include :

Conduct a Risk Analysis to determine the health of the account using a Risk Based Approach and determine the Risk Profile of the account.

Independent review of the customer account, analyzing all aspects of the customer account, i.e. average volumes oh hire, client holding periods, than capture efficiency, stock counts, reconciliations.

Based on the Risk Profile, make a recommendation of the type of audit required

Conducting physical stock counts at customer sites with customer representative

Conducting Risk and Control Audit at customer sites

Audits include reconciling and resolving account queries

Investigating and analyzing processes and missing transactions

Assessing and monitoring customer site for effective controls

Provide customer with onsite update and solution to account queries and controls

Verify stock recons and agree the surplus / loss figure with customer, ensuring that the stock recon is signed by both CHEP and customer senior management

Offer solutions to problems identified irt equipment losses and damages.

Provide assistance and training in implementing recommended changes.

Prepare formal report on the findings and recommendations and submit to the customer and Business

Important task to escalate all red flags to the business via the Siebel system

To report on Losses & surpluses and make recommendations into compensation to CHEP management

Co-ordinate and manage National Counts and Control Stock Audits

Interaction with customer equipment controller, management and senior management

Ensuring that the HS Audit Plan is updated weekly and submitted to the CCS for review

Ensuring all audits allocated for your region is completed within the FY.

Other duties Include

Attending management meetings (internal / external) as requested and provide feedback

Conduct exceptional and unplanned audit when required by customers to assist in any matters relating to the stock audit process

Securing appointments for onsite audits & assisting customers with account queries & reconciliations telephonically or via email

Ensuring queries assigned are followed through to their resolution and that the Siebel system is annotated accordingly

Escalating problems to the relevant CCS / BM’s / CRM’s as required to seek resolution of conflict situations

Customer training (incl PP+ training) and assisting and / or act as backup for CHEP Systems trainers and CCT

To record client queries and / or problems on Siebel and to assign these to the correct recipient to enable resolution

To ensure that all activities allocated in Siebel are resolved in accordance with the business rules and within the agreed time frame.

Portfolio Plus super user

Follow up any Asset Protection & Recovery issue as required by National Internal Auditor

Investigate Stray Equipment leads and ensure the communication of CHEP’s ownership rights

To participate in team projects

Any other task as delegated by the CCS and management.

Measures :

Number of Hire Stock Audits completed against HSA plan.

Losses & surpluses reported

Blue Code response time less than 3 days

Challenges :

Customer compliance and buy in for audit

Escalations to the business

Qualifications :

Matric & a qualification Essential.

Preferably studying towards an audit related degree.

Experience :

Minimum 5 years exposure to key CHEP systems

Minimum 3-5 years Basic Accounts & Reconciliation

Knowledge of Siebel, Portfolio and EDI

CCT experience is advantageous

Skills and Knowledge :

Good understanding of CHEP controls and Asset Management procedures.

Hands on knowledge of CHEP equipment management systems, i.e. Siebel, Portfolio, SAP & BW.

Analytical Skills

Excellent Communication Skills

Good report writing skills

Knowledge of the CHEP customer base
