Our client in Alberton, Johannesburg, has a permanent role available for a Stores Controller / Buyer. This role reports into the Supply Chain Manager.

Experience working with SAP in a Warehouse environment is compulsory. A SAP Skills Matrix will need to be completed.

Responsibilities :

  • Manage and oversee the entire inbound receiving and warehousing activities for raw materials, consumables, maintenance equipment, customer returns and general items.
  • Manage and oversee all warehouse stocks, both internally and externally.
  • Maintain good cleanliness, correct storage of all goods. Process slow moving articles in line with company procedures.
  • Perform stock verification and corrective actions.
  • Issue goods to the business functions from warehouses, in line with procedures and company policies and ensure monitoring and strict control of issues to 3rd parties.
  • Log all actions on the SAP system and communication deviations, requirements and improvements to the business functions.
  • Manage the processes of the procurement department with the end goal of securing the most appropriate services and materials at efficient costing.
  • Complete tender processes for products and services from start to finish. Establish strategic relationships, and negotiate with vendors and manage contracts.
  • Do stock analysis to ensure purchases are in line with stock holding strategy, and optimised spending.
  • Stock accuracy and reporting, including stock takes.
  • A. Management responsibilities.

  • Manage the Stores team consisting of the Stores Clerks (shift workers).
  • Arrange for appropriate coverage of the team, in with production planning requirements.
  • Time keeping, leave schedule and labour planning of subordinates.
  • Set standards and optimise procedures to ensure all subordinates are trained and have the correct guidance to perform tasks efficiently and safely.
  • B. Receive, Warehousing and issue of Goods.

  • Oversee the receiving and inspect inbound deliveries.
  • Set up, maintain and improve the warehouse storage locations.
  • Oversee the storage of all inbound materials in line with material specific requirements, batch processing requirements and expiry.
  • Oversee the Issue goods to business functions and ensure monitoring and strict control of issues to 3rd parties and Oversee the returning process of goods to Stores.
  • Manage the slow moving stock to be minimised.
  • Manage the process of repairing re-use items.
  • Communicate supply risk internally.
  • Oversee materials movement in the SAP system to reflect accurate stock location.
  • Oversee SFC processing of return wheels.
  • C. Stock Analysis and verification

  • Load and maintain stock MRP data.
  • Analyse and manage the slow moving stock to be minimised.
  • Analyse, take remedial action and put preventative measures for materials’ movement errors in SAP.
  • Assist with stock level analysis and implementation of optimised valuations.
  • Manage the stock verification process of all in house and external warehouse goods at month end and inter period cycle counts.
  • Special attention to the Raw Material components with detailed analysis thereof.
  • D. Systems and process improvements

  • Partake as leader or team member in Supply Chain projects and tasks as and when required
  • Ensure processes and systems are in line with group standards
  • Drive continuous improvement
  • Communicate internally to the Group to build a wider understanding of potential supply from external sources.
  • E. Procurement of materials and services.

  • Perform stock analysis against offtake and adjust procurement batch sizes and re-order levels accordingly.
  • Place orders in line with Production plans and schedules, and manage the approval process in line with procedures and delivery urgency
  • Arrange for receipt and distribution of COC and MSDS.
  • Follow up on outstanding PO’s.
  • Monitor critical stock levels.
  • Maintain the Vendor information in SAP via defined processes.
  • Optimize procurement processes and methodologies to reduce spend.
  • Continuously improve procurement with regards to RFP / 3 Bid and negotiating process.
  • Drive achievement of Operating Group’s Procurement cost reduction goals.
  • Proactively manage internal and external customer expectations and relationships with all operating groups.
  • F. Consolidate Tenders for Services and Materials.

  • Draw up scope and requirements for tender documents.
  • Schedule meeting and briefings on site.
  • Communicate and negotiate with potential and current vendors.
  • G. Supplier development.

  • Source alternative supply sources with an advantage.
  • Establish strategic relationships with vendors who are aligned with the company goals.
  • Measure critical supplier’s performance against agreed criteria, and draw up reports.
  • Visit strategic vendors to asses’ capability.
  • Sourcing for CAPEX spend items as assigned by the Supply Chain Manager.
  • Support and development of BBBEE suppliers.
  • Conduct supplier performance reviews, manage supplier scorecards, contract compliance and strategic supplier improvement processes.
  • Coordinate with Supplier Performance Management related to all local and foreign suppliers

  • Education Level : Minimum standard 10 / Grade 12
  • Qualification in Warehouse Management and a tertiary qualification in Procurement is compulsory.
  • Language Requirements : English

  • Warehouse and Procurement management - 3-4 years’ experience
  • SAP is a must
