Description

The Unit for Undergraduate Medical Education (UUME) in the School of Clinical Medicine in the Faculty of Health Sciences invites applications from suitably qualified individuals, for appointment as a senior administrator in the Graduate Entry Medical Programme (GEMP) 1&2 programme.

Main purpose of the job

Coordination and administration of the GEMP 1&2 programme and students, in support of the Head of GEMP 1&2.Additional duties are specified in the Key performance areas section below.

Key performance areas

To coordinate and implement administrative functions for GEMP 1&2, evaluate each integrated system-based block in GEMP 1&2 and line manage and direct the GEMP 1&2 administrative assistant and the logistics administrative assistant (partly 50%) which include inter alia :

  • load and maintain information on the learning management system (e.g. Canvas (Ulwazi) / Sakai), prepare and communicate timetables, book and remind lecturers about teaching sessions, book venues and manage small group learning (SGL) venue bookings, assist with printing and preparation (e.
  • g. binding) of academic materials, manage student and staff queries, communicate appropriate information to students and staff, compile student group lists

  • arrange block planning and evaluation meetings, update teaching materials, implement recommendations
  • manage and coordinate the GEMP 1&2 curriculum meeting, including minute taking, arrange catering, book venue, invite attendees
  • arrange distribution of clinical prerequisites (e.g. medical equipment, scrubs etc)- keeping detailed records of student collections
  • records data needed for yearly apportioning of student full time teaching equivalents (FTEs) to departments for the teaching activities in GEMP 1&2
  • arrange group allocations and administration of small group learning activities.
  • support the monitoring of student attendance at compulsory teaching activities.
  • supervise duties of the GEMP 1&2 administrative assistant and the monitoring of student attendance at compulsory teaching activities.
  • Minimum requirements to apply for this position :

  • Matric
  • Recognised further 3 year qualification in relevant field; higher degree preferable, but not essential
  • Work related experience : 5 years in relevant field within a higher education institution
  • Excellent computer skills, especially Excel and Word
  • Excellent verbal and written communication skills
  • Proven supervisory skills
  • Initiative, planning and organizing skills
  • Proven analytical skills
  • Attention to detail
  • Desirable personal abilities of the successful applicant

  • Positive work attitude
  • Good administrative skills with working knowledge of Microsoft Office
  • Self-motivated, able to work independently and work as part of the UUME team
  • Able to work under pressure and adhere to deadlines
  • Good interpersonal skills, tactful, respectful, non-judgmental and punctual
