Job Purpose

  • To operationalise business rules through the documentation and translation of data governance principles (e.g., master data management, taxonomies, etc.
  • into effective and consistent processes in order to improve the integrity of the data and compliance of data handling processes.

  • To provide administrative support, planning, coordination and record keeping for the Information Governance capability.
  • Key Responsibilities / Accountabilities Data Governance

  • Maintains a detailed inventory of ownership and accountability for PBB SA’s core systems and data assets that are held in these systems, as well as the teams and processes that own them.
  • Implements established leading practice and ownership of the data taxonomy and implements established rules for their maintenance.
  • Uses knowledge of the information management lifecycle to identify opportunities for process improvements.
  • Continually identifies and documents risks in line with data management principles, ensuring they are mitigated and accounted for through a handoff to the Information Assurance Manager.
  • Identifies and assists the Manager : Monitoring and Oversight in the development of policies and standards that need to be put in place to ensure the function can be carried out effectively and efficiently by performing initial research and drafting.
  • Supports project planning and management (e.g. drafting the plan with scope of work and timelines) by confirming leading practice and the Information Governance frameworks are followed.
  • Provides input on stakeholder management and organisational issues impacting the adoption of Information Governance principles.
  • Drives adherence to governance standards in support of the EIM operating model.
  • Develops / crafts verbal and written governance communications (e.g., presentations) formally and informally to relevant audiences.
  • Assists with drafting communication of the assurance controls in collaboration with Information Maturity team.
  • Supports Information Assurance review initiatives by researching and sourcing the data for utilisation in the assurance reviews from the Data Stewards.
  • Follows up on actions and findings of non-adherence to the IG framework.
  • Provides oversight on the efficient operation of the Data Transfer process (e.g., intra-Group and / or external third parties) and ensures data requests are executed and deviations are resolved timeously in line with approved governance principles.
  • Updates and maintains RCSA’s and risk logs by identifying and logging emerging data risks by interfacing with the relevant Operational Risk stakeholders.
  • Ensures the record keeping of all Information Governance artefacts (e.g. iGovCo minutes and decision logs) in a single, accessible repository. Measures :
  • Adherence to governance standards and policies
  • No repeat audit findings pertaining to data
  • Governance inventory kept up to date and easily accessible
  • Deviations from the EIM operating model logged as gauged by the line manager Governance policies and standards
  • Provides input into the drafting of IG policies by conducting research on industry best practices to ensure ongoing compliance and alignment with the broader industry ecosystem.
  • Creates and maintains a policies and standards catalogue with all policies indexed and referenced for easy access.
  • Updates policies upon instruction. Measures :
  • An actively maintained and accessible repository of IG policies and standards Governance maturity (people, process, tools)
  • Ensures effective IG onboarding of Data Stewards and Provincial Data Managers (e.g. setup on all communication platforms and in relevant governance forums) to allow for consistent and effective engagement within this community.
  • Provides high-level support in the setup, usage and maintenance of data governance-specific technology platforms (e.g., Microsoft Teams and Sharepoint) to enable more efficient interaction and collaboration.
  • Provides input for the continuous enhancement of data governance administrative processes and working practices (e.g. automation of existing tasks and processes).
  • Provides administrative support by liaising with the EIM Maturity and Adoption team (e.g., newsletter content, team structures) to ensure constant visibility of IG activities and stakeholders. Measures :
  • Engaged and informed Data Steward and PDM community (gauged through feedback)
  • Improved maturity assessment scores for IG capability
  • Stakeholder feedback
  • Regular and timely communication on behalf of IG Request / query management
  • Administers workflow by routing requests within the Data Ecosystem to ensure timely visibility and execution.
  • Resolves secretariat queries to support the efficient functioning of the various governance forums (e.g., outstanding minutes, missing minutes, amendments, etc.).
  • Channels escalations and general communication of key discussion points and decisions made in various committees across the IM committee landscape, to ensure visibility at the relevant levels. Measures :
  • Timeous resolution and closure of work requests and secretariat queries Forum / meeting administration
  • Manages operational efficiencies by drafting and distributing minutes and actions for relevant governance committees.
  • Responsible for documenting and safekeeping of artefacts (e.g. mandates, etc.) produced by various governance committees in support of IG’s record-keeping responsibility.
  • Communicates decisions, actions and risks logged for visibility and follows up on timeous resolutions and execution.
  • Arranges committee meetings and ensures sufficient quorum representation. Measures :
  • Timeous distribution of meeting agenda and meeting packs compiled
  • Documenting, filing and timeous distribution of minutes
  • Minutes and actions of meetings and resolutions are maintained and accessible. Preferred Qualification and Experience Qualification First Degree Information Studies Member of Data Management Association (DAMA) or a similar international organisation Certified Data Management Professional or Certified Information Management Professional Experience 3 -4 years Knowledge of data principles and information governance.
  • Experience in business analysis, process documentation, client and stakeholder management and preparing of quality management reports.
