  • Stellenbosch, Western CapeManaging, administrating and coordinating programmatic components of the office and the project (residential and curricula;

  • General office administration, logistics and scheduling activities associated with the project (e.g. diaries and scheduling of meetings, venue bookings, acquisitions, car and flight bookings, preparation for meetings including arrangements for visitors, etc.

  • Project financial administration (e.g., quotations, orders, invoices, etc.) and preparing financial reports in collaboration with appropriate university offices and government stakeholders;
  • Managing correspondence with senior university and government stakeholders as well as scholars participating in the project;
  • Coordinating follow-up actions arising from meetings and contact sessions with scholars and stakeholders;Receiving and hosting guests;
  • Scheduling appointments, meetings and coordinating seminars with the necessary support with regard to preparing agendas, writing minutes, gathering information, compiling reports and liaising with external presenters;
  • Making extensive travel and accommodation arrangements on and off site;Updating the project website;Sourcing research and other relevant information, as well as preparing seminar presentations, research reports and strategic documents;

  • Finansiële administrasie / bestuur van die projek (bv. kwotasies, bestellings, fakture, ens.) en voorbereiding van finansiële verslae in samewerking met toepaslike universiteitskantore en belanghebbendes in die regering;
  • Hantering van korrespondensie met senior belanghebbendes van die Universiteit en die regering, asook met skoliere wat aan die projek deelneem;
  • Koördinering van opvolgaksies voortspruitend uit vergaderings en kontaksessies met skoliere en belanghebbendes;Die ontvangs en hantering van gaste;
  • Reëlings vir afsprake, vergaderings en koördinering van seminare met die nodige ondersteuning ten opsigte van die opstel van agendas, die skryf van notules, die insameling van inligting, die opstel van verslae en skakeling met eksterne aanbieders;
  • Die reël van omvattende reis- en verblyfreëlings op en weg van die kampus;Opdatering van die projekwebwerf;Die vind van navorsing en ander toepaslike inligting, sowel as die voorbereiding van seminaaraanbiedings, navorsingsverslae en strategiese dokumente;
  • Die hantering van algemene kantoorbestuur in samewerking met die ander kantoorpersoneel betrokke by die projek.A post-matric qualification that requires at least two years of study;
  • Three to five years’ proven experience in senior secretarial / office / project or financial management work;Proven experience of liaising with senior stakeholders;
  • Computer proficiency across a range of applications (e.g., MS Word, Excel, PowerPoint and Outlook);Excellent spoken and written communication skills, as well as effective interpersonal skills;
  • The ability to function in a multi-lingual environment;Excellent organisational skills and an ability to coordinate high-level events independently and as part of a team;
  • Capacity to prioritise and to manage work independent of regular and close supervision;Excellent time management skills and the ability to work efficiently and accurately under deadline;
  • Willingness and availability to work after hours when necessary and to undertake project related travel, when required;The ability to process information and to convert this into clear, concise and persuasive documents.

  • Drie tot vyf jaar se bewese ervaring in senior sekretariële / kantoor- / projek- of finansiële bestuur;Bewese ervaring van skakeling met senior belanghebbendes;
  • Rekenaarvaardig in 'n verskeidenheid toepassings (bv. MS Word, Excel, PowerPoint en Outlook);Uitstekende mondelinge en skriftelike kommunikasievaardighede, asook effektiewe interpersoonlike vaardighede;
  • Die vermoë om in ’n veeltalige omgewing te funksioneer;Uitstekende organisatoriese vaardighede en die vermoë om hoëvlakgeleenthede onafhanklik en as deel van 'n span te koördineer;
  • Die vermoë om werk te prioritiseer en te bestuur sonder gereelde en noukeurige toesig;Uitstekende tydsbestuurvaardighede en die vermoë om doeltreffend en akkuraat binne spertye te werk;
  • Bereidwilligheid en beskikbaarheid om, indien nodig, na-ure te werk en projekverwante reise te onderneem, indien nodig;Die vermoë om inligting te verwerk in duidelike, bondige en oorredende dokumente.None / Geen
