Job Advert Summary The overall responsibility of the successful candidate in this position will be to provide a dedicated secretarial service to the Manager Water Quality Specialist Services and administrative assistance to Section Heads within the department. Minimum Requirements

  • Diploma in Office Administration / Secretary. User competence in all software programmes relevant to the job (Word, Excel, PowerPoint, Outlook etc.
  • 3-5-years’ experience in personal assistance on executive level. A traceable record of good human relations, co-ordination, administration and attention to detail in a diverse group of people.

    Extensive knowledge of all components of MS Office. Code 08 driver’s license. Primary Duties

  • Provide full secretarial and administrative support, such as typing, filing, meeting arrangements, minute taking (on request) and the co-
  • ordination of diaries. Co-ordinate, collate and manage departmental reports. Ensure the proper organising and scheduling of departmental activities.

    Ensure the smooth functioning of the Manager Water Quality Specialist Services’ office. Provide frontline support and liaison for the department that includes the screening of calls and effective communication skills (verbal and written).

    Implement and manage a centralised electronic filing system. Responsible for stock-take and safe keeping of assets in the safe.

    Responsible for departmental attendance register and co-ordination of leave forms. Assist with the administration of SHEQ function.

    Knowledge A proper knowledge of business ethics relating to handling of confidential correspondence. Skills

  • Computer literacy with an advanced knowledge of MS Office package. Effective communication skills (verbal and written).
  • Excellent telephone manner. Proven proficiency in minutes taking. Planning and organising skills. Attitude

  • Ability to interact with different groups of people. Self-motivated and responsible.
